Magpie books your private and small-group sessions, and bills each block of lessons in advance. It keeps each player's progress and videos where their family can see them.

Your sessions, players, families and fees are in your own Magpie account. Each family gets a private page for its player's plan.

Families pay for a block of six lessons in advance, by card from the email.

Invoicing bills each family from their contact. A block of six 60-minute lessons is one line, and the total follows. A second child has a line of their own, with a discount before tax.

The email has a Pay online button, and the money goes to your own Stripe account. Magpie adds no fee. Each lesson the family books is then listed on their contact, beside the invoice.

Each player's plan shows the technique you are working on, their goals and your videos.

Client Portal gives each family a private page. A player's plan has a stage for each part of their game, such as the toss. You tick each step when they can do it.

A goal can be a number, such as 65% of first serves in. You share a video of their serve, and they can upload one filmed at the park. The block's invoice can be paid on the same page.

Families take a place in a small-group session until the group is full.

Calendar holds each group session as an event, such as Saturday juniors at 9:00. RSVPs stop at the capacity you set, such as six players. The event's page then says it is full.

You send families the event's link. A parent answers Going while signed in to Magpie. A parent with no account gets a free one. Each session is its own event, added for its date.

Parents book a place at your holiday camp and pay as they send the form.

Forms builds a form for each camp. It asks the child's name, age and medical notes, and who collects them. A paid Form takes the camp fee by card on Stripe's page. Parents fill it in without signing up first.

Each booking is emailed to you and kept in one list. The list exports as a CSV file. When the camp is full, you close the form, and its bookings are kept.

Plans

A coach working alone fits Pro, for your own work in Personal. The free plan includes 5 invoices a month and 100 contacts, and Pro has no limit on either.

Parents get free Magpie accounts when you invite them to their family's page. Videos on families' pages use your file storage: 1 GB free, or 20 GB with Pro. Emailing a recording from Screen Recorder needs a paid plan.

Magpie adds no fee to invoice payments. On a paid camp form, its fee is 1% of each payment. Stripe's processing fee is taken from each card payment. Prices are on the Pricing page.

Other coaches, teachers, schools and clubs have pages of their own.

Swim schools

A swim school with several teachers enrols swimmers for the term, and plans a poolside rota.

Music teachers

A private music teacher signs each family up for a year of lessons on a proposal.

Questions sports coaches ask

Can parents book a lesson for their child online?

Yes. Your booking page lists your lessons with their length, price and place. A parent picks a free time and enters their name and email address. They book without signing up first, and get a confirmation email.

Can I offer private, junior and paired lessons at different prices?

Yes. Each lesson is a service with its own length and price. A 30-minute junior lesson and a 60-minute paired lesson for two friends are two services. A service can be switched off for the winter without losing its bookings.

Can my booking page offer only the court time I have hired?

Yes. Your weekly hours are the times you can be booked, such as Tuesday 4 to 7. Times already booked and events on your calendar are left out. A minimum notice stops bookings made too close to the start.

I coach at two venues. Can players book at either?

Yes. Each lesson has its own place. A lesson at the club and one at the indoor centre are two services. A buffer after a lesson keeps time free to travel. The place is in the parent's confirmation email.

Can I stop parents cancelling the night before?

Yes. Cancelling and moving each have their own notice, such as 24 hours. Until then, the parent uses the link in their confirmation. After it, the page asks them to contact you.

What happens when rain stops a lesson?

You cancel the lesson, or move it to another free time. Magpie emails the parent the cancellation or the new time. The court time is offered on your booking page again.

Can families pay for a block of lessons in advance?

Yes. You send an invoice with the block as one line, such as six 60-minute lessons. The parent pays by card from the email. Each lesson they then book is listed on their contact, beside the invoice.

Can I give a discount for a second child?

Yes. Each child's block is a line on the family's invoice. One discount comes off before tax, as an amount or a percentage. The family pays the total by card.

Can a regular player pay every month instead?

Yes. You can make their invoice recurring. Magpie will issue and email it every month, with a Pay online button. It stops when you pause or end it, or after the number you set.

What if a family pays by bank transfer or cash?

You record the payment on the invoice, with its method, its date and a reference. It can be in full or in part. A part payment leaves the invoice partly paid, with the balance still due.

What does Magpie take from my lesson fees?

Magpie adds no fee to invoice payments. On a paid camp form, its fee is 1% of each payment. Stripe's processing fee is taken from each card payment. The rest goes to your own Stripe account.

Can parents see how their child is getting on?

Yes. Each family has a private page with their player's plan. It shows each part of their game, with the steps ticked or still to do. Parents get an email when you share a plan. They sign in with a free Magpie account made from your invitation.

Can I share video of a player's technique?

Yes. You share a video on the family's page, such as their serve filmed from the side. Each file can be up to 500 MB. Only the family can download it, and they get an email about it.

Can players send me videos of their own swing or serve?

Yes. They upload a video on their family's page, from the Overview or Files. It is listed with who uploaded it, and you see it in the page's activity.

Can I talk a player through their video?

Yes. Screen Recorder records your screen while the player's clip plays, with your voice and your camera. You can cut out a part before sharing it. You email it to the family from Magpie, and see how far each person watched.

Can I set goals such as a first-serve percentage or a 5 km time?

Yes. A goal can be a number with a unit and a date. One example is 65% of first serves in by March. You or the player record where it stands, and a bar shows the progress. Every value is listed with who recorded it and when.

Can every beginner work through the same plan?

Yes. You keep each level as a starter plan, with its stages, steps and goals. A player's plan starts as a copy of it. Changing the starter later leaves earlier plans as they are.

Can players practise between lessons?

Yes. A step can be for the player, such as 20 tosses a day. They or their parent tick it on the family's page. Each tick is listed under Client activity, with when it was made.

Can I run small-group sessions with a set number of places?

Yes. A group session is a Calendar event with RSVPs and a capacity, such as six players. Parents answer Going on its page, signed in to Magpie. Once six are going, the page says it is full. A parent who answers Not going gives the place back.

Can I take bookings and payment for a holiday camp?

Yes. A paid Form charges one amount, such as the fee for three days. The parent pays by card on Stripe's page, into your own Stripe account. Each booking then shows Paid, with the amount. You can make a form for each camp week.

Can I ask about allergies and who collects each child at camp?

Yes. Your camp form asks whatever you need, such as allergies, medical conditions and who collects them. A question can be required. Every answer is kept with the booking and exports as a CSV file.

How do I stop camp bookings when the camp is full?

All responses lists every booking, with when it was sent. When you have enough, you close the form, and new bookings stop. The bookings already made are kept. Publish opens it again if a place comes free.

Can parents agree to filming and photos?

Yes. E-Signatures sends a consent PDF for each parent to sign. You save it once as a signing starter. You can share it on the family's page, where they choose Review and sign. The signed PDF is kept with a certificate of completion.

Can Magpie remind me before my coaching qualification or first aid runs out?

Yes. Each one is a renewal with its next date. It repeats every few years, or a set time after the last one. Magpie emails you 60 y 30 days before it is due, and on the day. It emails every week while it is overdue.

Can I keep my background check and insurance certificates in Magpie?

Yes. Each certificate is a document with its kind and expiry date, up to 25 MB. It is encrypted where it is stored. Magpie emails you 30 y 7 days before it expires. You arrange the check itself with the body that issues it.

Where do I keep a player's medical notes?

On the family's contact, in a pinned note that stays near the top. Families do not see your notes. The contact also lists every lesson booked and every invoice.

Can I keep track of what court hire costs me?

Yes. Each venue's court hire can be a recurring expense, weekly or monthly. On each date, a draft waits for you to confirm, changed if the bill differs. Reports total your spending by category and by merchant.

Can I email all my families when camp places open?

Yes. Newsletter gives you a sign-up page, and each subscriber confirms by email. You write the email, send yourself a test and schedule it.

I coach golf, running or swimming, not tennis. Does it still fit?

Yes. A lesson's place can be a driving range, a track or a pool lane you hire. A plan's stages can be the parts of a golf swing or a running stride. A goal can be a handicap or a 5 km time.
