To-dos

Email reminders at or before a To-do's When or Deadline, and To-dos that repeat.

A reminder is an email sent at a time worked out from the To-do's When or Deadline, to the person the To-do is assigned to. A repeating To-do schedules its next occurrence when the current one is completed, and every completed occurrence is kept.

Reminder times

A To-do has one reminder at a time, chosen under Reminder on its page. A reminder before When needs a When date, and one before Deadline needs a Deadline.

At When
At the To-do's time, or at 9:00 am on its When date when it has no time.
15 minutes or 1 hour before When
Counted back from the To-do's time, or from 9:00 am when it has none.
At Deadline
At 9:00 am on the Deadline date.
1 day before Deadline
At 9:00 am the day before it is due.
An exact time
Ask the assistant for a reminder at a particular date and time. The To-do's page shows it as one of the choices, such as “At Thu 15 Oct, 3:00 pm”, and keeps it.

Who is reminded, and when

The reminder is emailed to the person the To-do is assigned to, or to the person who added it when nobody is. The email names the To-do and links to its page.

Times are worked out in that person's own time zone, so “1 hour before When” on a 10:00 To-do is 9:00 where they are. Assigning the To-do to someone in another time zone moves a reminder set from When or Deadline to match.

A reminder follows its date: move the When date or the Deadline and the reminder moves with it, and clear that date and the reminder is cancelled. Completing the To-do cancels a reminder that has not been sent.

In a team, the person a To-do is assigned to can set and snooze its reminder even with View only access.

Snoozing a reminder

Ask the assistant to snooze a To-do until a date and time. Snoozing changes when the reminder will be sent and never changes the Deadline. A To-do with no reminder is snoozed by moving its When date and time instead.

Repeat patterns

Choose a repeat under Repeat on a To-do's page, or end the title with one when you add it.

On the To-do's page
Every day, Every weekday, every week on the To-do's weekday, Every 2 weeks, monthly on its date, or Every year. The choices are worded from the To-do's day, such as “Every Thursday” and “Monthly on day 15”.
In the title
“every day”, “every weekday”, “every Thursday”, “every 2 weeks”, “every 3 months”, “every month” or “every year”, with a time if it needs one: “Take bins out every Thursday at 7pm”.
The first occurrence
A repeating To-do with no date starts on the first day that fits: today for “every day”, or for “every Thursday” added on a Thursday.

Completing, changing and stopping a repeat

  1. Complete this occurrence

It moves to Completed, and the next occurrence will be scheduled at once, on the next date the pattern gives after this one's When date.

  2. The next occurrence

It has the same title, time, List, assignee and priority. If the To-do had a Deadline when its repeat was set, each occurrence is due the same number of days after its When date, such as planned on Monday and due on Wednesday every week.

  3. History

Each occurrence is a To-do of its own, so completing this week's does not change last week's, and each completed one stays in Completed.

  4. On a Kanban card

A repeating To-do added to a card stays listed on the card, one occurrence after another.

  5. Change or stop

Choosing another repeat changes the occurrences still to come. Never stops the repeat, and the occurrences already made, completed or not, are kept.
