Appointments

Every customer appointment in one list, with phone and walk-in bookings added by hand.

The Appointments list holds every booking, whether a customer made it on the booking page or a team member added it. Each booking adds a Calendar event for the staff member and links the customer to a contact. After the appointment, mark it Completed or No-show.

The Appointments list

Each row shows the time, the customer, the service and the staff member. Select the customer's name to open their contact.

Today
The day's appointments. The Overview also shows them, or the next ones when there are none today.
Upcoming
Confirmed appointments that have not ended yet, soonest first.
Past
Earlier appointments, each with whether it was marked Completed or No-show.
Cancelled
Appointments cancelled by the customer or by the team.

An appointment's record

An appointment shows the customer with their email address and phone number, the service with its length, location and price, the staff member, any required room or equipment, its status and when it was booked.

Internal notes are for the team: members with access to Appointments see them, and the customer never does. Click them to change them.

Phone and walk-in bookings

New appointment books a service for a customer who calls or walks in. You can use it before the booking page is published.

  1. Choose the service, staff member, date and start time

The time has to be one the booking page would offer that staff member: inside their weekly hours, on one of the start times, within the notice and range in Settings, and free. Otherwise Magpie says the time is no longer available.

  2. Enter the customer

A name and email address, and optionally a phone number and internal notes.

  3. Magpie confirms it

The customer will get the same confirmation email as from the booking page, with the link to view, reschedule or cancel.

What each booking adds in Magpie

The Calendar event and the reservation change only with the appointment: reschedule or cancel the appointment, and both follow.

A Calendar event
An event named after the service and the customer, on the staff member's Calendar in Personal or the team. It also blocks that time on the staff member's own meeting page in Meetings.
A contact
The customer is linked to the contact with the same email address in Contacts, or a new contact is added. The contact's Activity lists their appointments, including cancelled and completed ones.
A Resource Booking reservation
When the service requires a room or equipment, it is reserved for the appointment.

Reschedule, cancel, Completed and No-show

A team member with edit access can reschedule an upcoming appointment from its record. The new date and start time have to be free for the same staff member and any required resource. Cancel appointment asks to confirm, removes the Calendar event and frees the resource. Magpie will email the customer the new time or the cancellation.

Customers can also reschedule or cancel from their own link, until the notice set in Settings begins.

Once an appointment has ended, its Status row offers Completed or No-show, and choosing one saves it.

Who can see and change appointments

Appointments works in Personal or in a team. In a team, members with edit access add, reschedule and cancel appointments and change notes and statuses; members with view access can see the list and the records. A member limited to some areas needs Appointments among them.
