Every part of this is optional. A contact without notes or follow-ups works as it did before.

Add a note

On a contact's page, write in the box under Activity and select Add note. Only the text is required. Markdown is supported. The type beside the button defaults to Note. Choose Call, Email, Meeting or Message to record that you were in touch with the person. That also sets Last contacted to today. A plain Note does not.

Each note shows who wrote it and when. Click a note's text to edit it. Press Ctrl+Enter (Cmd+Enter on a Mac), or click away, to save. Change the type from the label at the start of the note. Anyone who can edit contacts in the Personal or team context can edit or delete any note. The author stays the same, and a note changed by someone else says Edited by and their name.

Select Pin on a note to keep it under Keeping in touch near the top of the page, for something like "Prefers email". Unpin returns it to the activity list.

Activity

Activity lists the following, newest first:

  • notes
  • invoices sent, paid or voided for the contact
  • follow-ups marked done
  • your own meetings with the person

A meeting appears when the booking's attendee email matches one of the contact's email addresses. Meetings hosted by other team members are not shown. Select Show older to see further back.

Last contacted

Last contacted is under Keeping in touch. Logging a call, email, meeting or message moves it forward. It never moves back for an older entry. Click the date to correct it or clear it. The contacts list shows it as a column on wider screens.

Follow-ups

Open Set a follow-up, choose a date, and optionally add a reason. The follow-up is a To-do called "Follow up with" and the contact's name, with that date. It appears in To-dos with the usual reminders, and marking it done in either place completes it. On the contact page you can change the date or reason, Mark done, or Clear it, which deletes the To-do.

Contacts > Follow-ups lists every open follow-up in the context, grouped by Overdue, Today, Upcoming and No date. Contacts > Recently contacted lists contacts by their Last contacted date. The contacts list shows each contact's next follow-up date.

The contacts search matches words in activity notes as well as names, companies, About text and tags. When a note matched, the result shows an excerpt from it. Words shorter than three letters are not matched in notes.
