Contacts

One contact holds a customer's invoices, proposals, tracked time and portal, and a supplier's bills.

Invoicing, Proposals, Accounting, Time Tracking and Client Portal all take their customer or supplier from Contacts. The contact's page lists what each of them holds for that person, with a button to start the next one. Appointments and webinar registrations add people to Contacts by email address, and E-Signatures, Mail and Store add them when you choose Add to Contacts.

Customer details used by Invoicing

Tagging a contact as a Customer shows its Customer details. An invoice needs a contact, and these details fill in the invoice when you bill them.

Default payment terms
Days from the issue date until an invoice is due. The contact's terms replace the Invoicing default, and a new draft's due date is worked out from them.
Billing address
Two address lines, city, state or province, postal code and country: the address the invoice is billed to.
Sending the invoice
To starts with the contact's primary email address, and other contacts are suggested as you type. Addresses you add for one email are not saved to the contact.
Adding a contact while invoicing
Add contact under Bill to keeps what you have entered and comes back to the draft with the new contact chosen.

What a contact's page lists

Invoices
Every invoice billed to the contact with its number, issue date, status and total, and New invoice to start one for them.
Proposals
Proposals with the contact as client, and New proposal to start one with them as the client. Fields in the proposal fill in their name and company.
Bills
Bills from the contact as a supplier in Accounting, with what is still owed on each and Enter bill, for people who can open the team's books.
Time
How much time you tracked linked to the contact, the Time Tracking projects for them, and Start timer beside the contact's name.
Client Portal
The client's portal, or Create a portal, which fills in the contact's company or name, links the contact to the new client and opens Invite client with them chosen.
Share invitations
Links sent to the person by email from Magpie, such as a screen recording, with whether each was delivered and when it was first opened.

Hourly rates and billable time

Admins can set a contact's Default hourly rate for new Time Tracking entries linked to it, in the default invoice currency. A new entry takes the project's rate first, then the contact's, then the Invoicing default, and a rate entered on the entry replaces it. Members see rates only when Rates visible to members is on, on the team page.

In the invoice editor, a team admin's Add unbilled time adds billable entries for the invoice's contact, and issuing the invoice marks them Invoiced. Add unbilled expenses does the same for your reimbursable expenses for that contact.

Contacts added from other areas

Several areas find a person in Contacts by email address, or add them, in the Personal or team the work belongs to.

Appointments
Each booking links the customer to the contact with the same email address, or adds a new contact, and the booking appears in the contact's history.
Webinars and Coaching
Registering for a webinar, or being added as a Coaching client, finds the contact by email address or adds one. When Contacts is at its plan's limit, a webinar registration goes ahead without a contact.
E-Signatures and Agreements
After a request is completed, Add to Contacts on a signer's row links them to a contact or creates one. An Agreements party whose email address belongs to a contact is linked to it.
Mail
Add to Contacts on a message adds the sender, and Open in Contacts opens them once they are there. A new message suggests contacts as you type a name or address.
Store
Add to Contacts on a customer's page creates a contact with their name, email and phone and links them; a customer is never linked automatically. Make an invoice on a quote bills the customer's contact, adding one when they have none.
Suppliers
A Store supplier can be linked to a contact or added to Contacts, and a bill made from its purchase orders then names that contact in Accounting.

Contacts in Accounting

A bill entered with a supplier's name from Contacts is linked to that contact, and a bank rule can name a contact for the transactions it adds. Income by customer and Spending by supplier then total the income and expenses between two dates for each contact, largest first.
