Contacts

Manage contacts, interaction history and follow-ups.

Keep several contact methods, dated activity and customer billing details on each Contact. Follow-ups create linked To-dos, and the record shows related invoices and your meetings with that person.

Search contact details and activity notes

Search names, companies, About text, tags and activity notes. Recently contacted orders Contacts by Last contacted; Follow-ups lists open follow-ups by date. Pin an activity note to keep details such as a preferred contact method near the top of the record.

Details you can keep on a Contact

Names and company
Keep a display name alongside prefix, first, middle and last names, suffix and company.
Contact methods
Store multiple labelled email addresses, phone numbers and postal addresses, with a primary value for each kind.
Tags and About
Add your own tags and a short description. A Customer tag opens the billing defaults used by invoices.
Activity
Record dated notes, calls, emails, meetings or messages. Activity also includes invoice changes and your booked meetings when the attendee email matches a contact email.

Invoices, time entries and follow-up To-dos

Invoicing

Start a new invoice with the Contact selected and use its saved billing details.

Time Tracking

A Contact can supply a default hourly rate for new time entries. Start a timer from the Contact to keep the work linked to that person; team admins manage rates.

Before you add a Contact

Can Contacts belong to Personal and teams?

Yes. A Contact belongs to the selected Personal or team context.

Can a Contact be deleted after an invoice exists?

No. Contacts with invoices stay so the invoice history keeps its customer relationship.

Does a plain note change Last contacted?

No. Call, Email, Meeting and Message entries set Last contacted. A plain Note does not.

Can I add many Contacts at once?

Yes. Paste a JSON document to create up to 200 Contacts at once with their email addresses, phone numbers, addresses and tags.

How many Contacts can I save?

Free allows 100 Contacts in a context. Pro does not cap the number.
