The recording

A webinar's recording is listed in the After the webinar band of its page while it is made: Recording now, then Being saved and Importing once it stops. Each time the recording is stopped and started again makes another part: Recording, Recording, part 2.

Each part will be added to the Screen Recorder of the webinar's first host, the first Host under Hosts and speakers who is still a member of the team, named after the webinar, with "(part 2)" added for the second part. It is kept whole, whatever that host's plan allows for a recording's length, and counts toward their storage but not toward their recordings a week. It is private unless Who can watch the replay is Anyone with the link: only its owner can open it in Screen Recorder, and it has no share link (see Share a screen recording).

The hosts and co-hosts will be emailed when each part is ready, with whose Screen Recorder it is in. When it takes its owner over their plan's storage, their email says so: the recording is kept, and they cannot add more files until they free up space or upgrade.

A row says Ready and the recording's length once it is in Screen Recorder, and its owner can select Open in Screen Recorder. A recording that could not be imported says Could not be imported, and the hosts and co-hosts will be emailed. Try again imports it again while its file is still on the media server.

The replay

The first recording imported becomes the replay. A pre-recorded webinar's replay is the recording it played. The Replay row in After the webinar, shown once the webinar has gone live, replaces it with another of your own finished Screen Recorder recordings, or None. Cuts and overlays made to the replay in Screen Recorder show when it plays.

Who can watch the replay, in the same band, decides who watches it and where:

  • Attendees with their link: registered attendees watch it from their own join link. The replay is private in Screen Recorder, so its own link does not work, and a recording you choose as the replay becomes private.
  • Anyone with the link: the webinar's address opens the replay page for anyone once the webinar has ended and the replay is ready.
  • Nobody: the replay is not shown or emailed.

Webinars settings sets the choice a new webinar starts with.

The replay page

The replay page has the recording first, then the questions attendees could see, with their written answers, the results of the polls, the resources and the exit survey. From an attendee's join link it also names who asked each question, or says Anonymous, and lists the resource files. From the webinar's address it names nobody and lists the resource links only.

Before the replay is ready, or when Who can watch the replay is Nobody, an attendee's join link opens the same page without the recording. The minutes each attendee watches of the replay are counted.

The follow-up email

2 hours after the end, or as soon as the replay is ready if that is sooner, every registered attendee, whether or not they came, will be emailed the follow-up. It has the replay's link (Watch the replay, or Open the replay while it is still being saved), the resources, the exit survey and the webinar's follow-up message. A resource file in it opens from the attendee's own join link. With Who can watch the replay set to Nobody, the email has no replay.

The report

Once the webinar has ended, Open the report, beside the title on the webinar's page and on the live page, opens its report, for members with edit access. The report leaves test runs out.

  • Attendance: how many are registered, how many came live and the attendance rate, how many watched the replay, the most watching at once, and the minutes watched live in all and on average. Its last row, Attendees, opens the attendee list.
  • Registrations: registrations by day, and by the source they came from, Direct for none (see Webinar registration and attendees).
  • Questions: how many were asked and answered, then each question with who asked it, its votes, its state and its answer.
  • Polls: each poll that was opened, with its results.
  • Reactions: how many of each reaction were sent.
  • Resources and call to action: the downloads of each file and the clicks on the call to action, each attendee counted once. Links are not counted.
  • Breakout rooms: how many attendees were in each room, and each room's chat.

Export CSV

  • The attendee list's Export CSV has a row for each attendee: their name, email address, state, when and how they registered, the source, medium and campaign they came from, whether they joined the Newsletter, whether they came live, their minutes live and of the replay, how many questions they asked, polls they answered, reactions, chat messages, downloads and clicks, the rooms they were in, and their answer to each registration question.
  • Export CSV in Questions has each question, who asked it, its votes, its state, its written answer and whether it was answered live.
  • Export CSV on a poll has each answer: the attendee's name, what they chose and when.
  • Export CSV in Breakout rooms has every room's chat: the room, the author, the time and the message.

Times are in the webinar's time zone.

The attendee list and Contacts

Once the webinar has been live, the attendee list adds the columns Came live, Minutes live and Minutes of replay, and an attendee's page adds an Attendance band with their questions, poll answers, reactions, messages, downloads, clicks and rooms.

An attendee's contact in Contacts shows when they registered and when they first came live. Members with edit access also see the questions they asked and their clicks on the call to action.

Webhooks

Webhooks set up through Magpie's API (see API keys and REST API) receive three Webinars events. They go to the webhooks of the member who created the webinar, while they can still edit in its team, and none is sent for a test.

  • webinar.registered: someone registered on the registration page. Their state says whether they are registered, waiting for approval or on the waiting list. People a host adds or imports are not sent.
  • webinar.attended: an attendee joined the live webinar for the first time. It is sent once for each attendee, shortly after they arrive.
  • webinar.ended: the webinar ended, with how many were registered and how many came live.
