Notes

Keep notes in Personal or a team, and find them from Dashboard and Search.

Each note is kept in Personal, where only you can open it, or in a team, where the team's members can. Dashboard shows your latest notes from all of them, and Search looks through the text of every note you can open, whichever team is selected.

Personal and team notes

A new note goes in Personal or the team that is selected when you write it. Notes lists the notes of the selection only. The team is part of the page's address, so one browser tab can show Personal while another shows a team.

Personal
Only you can open and change a note in Personal.
A team
Everyone in the team who can use Notes can open all of its notes. A team admin chooses which areas each member can use.
Can edit or View only
Member access, a team setting, decides whether members can change the team's work. With View only, a note's status reads View only. Admins can always edit.
Moving a note to Trash
The person who wrote a note, or a team admin, can move it to Trash.

Move a note to another team

Move to another team, in a note's More menu, moves a note written in the wrong place to Personal or another of your teams. It is offered when you can edit the note and can add work in the destination.

  1. Choose the destination

Choose Personal or a team, then Move note. Save any edits first.

  2. Who can open it afterwards

People in the destination will be able to open the note. People in the team it left will lose access unless they are in the destination too.

  3. Room for another note

The destination's plan must have room for another note. When it has none, the move is refused and the note stays where it was.

Notes on Dashboard

Dashboard shows your latest notes from Personal and every team where you can use Notes, newest first, whichever team is selected. When you are in more than one team, each note shows the team it is in, with its first line as its title and the next few lines below.

Write a note
New note, or N, opens a note window on Dashboard. The note goes in Personal or the selected team, and the window's heading names which. It is saved as you type.
Change a note
Selecting a note opens it in the same window, in its own team. Open in Notes opens the same note in Notes, with the toolbar and the other options.
Copy text and Move to Trash
Right-click a note, or press and hold it on a phone or tablet, to copy its whole text or move it to Trash. Undo, in the message that appears, puts it back.

Search and the assistant

Search (⌘K)
Search looks through the titles and text of notes in Personal and every team you belong to, so a note can be found without knowing which team it is in. Each result shows its team and opens the note in that team.
The assistant
The assistant on Dashboard can search your notes, read a note from its link, write a new note, change one and turn a checklist line into a To-do. It reads notes in Personal or the selected team.
Trash from the assistant
The assistant moves a note to Trash only when your message confirms it.

Trash and the number of notes

Move to Trash takes a note out of Notes at once, and Undo in the message puts it back. The note stays in Trash for 30 days, where anyone who could move it there can restore it, and is then deleted forever.

Personal and each team have their own limit on the number of notes: 200 on the free plan, and 1,000 with Pro for Personal or the Team plan for a team. Notes in Trash do not count toward it, and a restore that would go over it is refused.
