See your shifts and ask for changes
See the shifts you are scheduled for, take open shifts, swap or get cover, and choose how you are told about changes.
When a manager invites you, accept the invitation with the account that uses the address it was sent to, or create one. You will see your own shifts for that team; what else you see of the schedule depends on the team's settings.
Your shifts
My shifts shows your next shift, your shifts in the coming three weeks, swaps waiting for your answer, and updates about your schedule, in the selected team. If another team schedules you, the page names it and links to your shifts there. You see a shift only once a manager publishes it, and a change only once it is published. Times are in the time zone where each shift happens.
Open a shift for its times, paid time, position, breaks, address, instructions and, if your team allows, who else is working that day.
From two hours before a shift starts until it ends, Start tracking time on the shift starts Time Tracking for it, if you are a member of the team.
Ask for a change
On one of your shifts, choose Change:
- Swap with a coworker lists their shifts you could both work. Nothing changes until they agree and, if your team requires it, a manager approves.
- Ask for cover asks coworkers who could work it. You stay on the shift until someone takes it over.
- I cannot work this shift tells your manager straight away, with a reason such as Sick or Emergency. The shift stays yours until they find someone else to work it.
Open shifts lists published shifts in the next six weeks that nobody is on and that you could work. Shifts that clash with your other shifts, your time off or the team's rules are not listed. Take this shift gives it to you straight away, or Ask for this shift asks a manager, as your team chose.
My requests shows swaps and offered shifts waiting for your answer, coworkers who need cover (I can cover it), what you asked for, and earlier requests. You can withdraw a request that is still waiting.
Time off and availability
Choose Ask for time off on My shifts or My requests. Enter the first and last day, and times if it is not whole days, and the type of time off. Your manager will decide; you stay on any shifts in that time unless they change them. You can withdraw time off that has not started.
Availability sets when you can usually work, and Add a date adds a date when you cannot work or can work different hours. A date applies as soon as you add it. If your team requires it, changes to your usual week wait for a manager's approval. Availability does not change shifts already published.
Notifications
On Notifications, choose email or app notifications for schedule changes, and separately for urgent ones: a change to or cancellation of a shift today or tomorrow, and a coworker asking for cover soon. App notifications go to phones signed in to the Magpie app. Several changes close together arrive as one notification. Shift reminders will arrive before each shift, the way you chose for urgent notifications. Quiet hours will hold routine notifications until they end; urgent ones will still arrive. These choices apply to every team that schedules you.
Your published shifts from every team appear in your Personal Calendar unless you turn off Shifts in Calendar. Calendar subscription gives an address that Google Calendar, Apple Calendar or Outlook can subscribe to. Copy it when it is created: it is not shown again. Anyone with the address can see your shifts; choose New address if it was shared by mistake, or Turn off.
In the mobile app
Open Staff Scheduling from the app's tools. My shifts shows the same as the website for the selected team: your next shift, your shifts in the coming three weeks by date, your hours this week, and swaps waiting for your answer, with Accept and Decline. If another team schedules you, tap it to switch to that team.
Open a shift to see when and where it is, its breaks, paid time and instructions, and who else is working that day if your team shows it. On your own shift, the action menu has Swap with a coworker, Ask for cover and I cannot work this shift; while a request on the shift is waiting, the shift says so instead. From two hours before it starts, Start tracking time starts Time Tracking for it. An open shift has Take this shift or Ask for this shift, on the shift and in Open shifts.
My requests lists what is waiting for your answer, coworkers who need cover, your own requests with Withdraw, your time off, and earlier requests. Ask for time off asks for whole days, or part of a day with the times it starts and ends. Availability shows your usual week: tap a day to change it, and use Add a date for a date that differs. Swipe a date to remove it.
A notification about your schedule opens the shift or list it is about, in the team it is about. Updates, notification choices and the calendar subscription are not in the mobile app.
If you cannot see a shift you expect, check the selected team, then ask your manager whether it is published. For other problems, contact Contact support.
