Meetings

A meeting page where people choose a Meeting Type and one of your free times.

Your meeting page lists the kinds of meeting you offer and the times you are free, at an address made from your handle. Visitors choose a time in their own time zone and enter a name and email address; they do not need a Magpie account. Magpie removes times that clash with your meetings, your Calendar and a connected Google Calendar.

What a visitor sees and does

The page opens with your picture, name and bio, from your Magpie profile, and tabs for Meetings and your public Calendar.

  1. Choose a Meeting Type

Each active Meeting Type is a row with its name, description and length.

  2. Choose a day and a time

The visitor chooses a day from the month, then one of that day's times. A time that is taken or blocked is shown but cannot be chosen.

  3. Enter their details

A name and email address are required; a phone number and notes are optional. When text reminders are on, a visitor with a US or Canadian number can ask for one.

  4. The confirmation

The visitor sees a confirmation page and gets an email with a calendar file (.ics). You get an email with the meeting, a calendar file and Confirm meeting.

Meeting Types

A Meeting Type says what a visitor can schedule: its name, length and an optional description, all shown on the meeting page.

Quick lengths
Choose 15, 30, 45 or 60 minutes to create a Meeting Type of that length at once, named after it, such as 30-Minute Meeting. Or give it your own name, length and description.
Deactivate and Activate
Deactivate takes a Meeting Type off the meeting page without deleting it. Neither this nor Delete changes meetings already scheduled.
Import JSON
Paste a JSON document to create several Meeting Types at once. Copy the prompt gives an assistant the format, so you can describe the meetings you take and paste back its answer.
Plans
The free plan includes 2 Meeting Types, inactive ones included, and Pro has no limit. Meetings themselves are not capped on any plan.

Weekly availability and the times offered

Availability says when you normally accept meetings. Choose one or more days and drag the slider to the start and end time; add two ranges on one day to leave a break, such as 9:00 AM to 12:00 PM and 1:00 PM to 5:00 PM.

Times start at the beginning of each range and follow one another at the Meeting Type's length. A 45-minute Meeting Type in a 9:00 AM to 12:00 PM range offers 9:00, 9:45, 10:30 and 11:15. A time cannot be chosen once it has passed, or when it overlaps any of these:

Another meeting
Any meeting already booked with you.
A Calendar event
An event you created or answered Going to, in Personal or any of your teams, including the events Appointments adds when you are booked as staff.
Google Calendar
A busy time in your primary Google calendar, while it is connected.

Time zones

Your availability is in your account time zone. The meeting page shows dates and times in the visitor's time zone, taken from their browser, and names that zone above the calendar; the visitor can choose another. When your zone differs, the line names yours too, so 9:00 AM in Los Angeles is offered as 12:00 PM to a visitor in New York.

The selected time and the confirmation page show the time in both zones. The visitor's confirmation email uses their zone, and your notification uses yours. Changing your account time zone moves future availability to the same hours in the new zone, and leaves scheduled meetings where they are.

Opening the page and sending it to someone

A new account's meeting page is off: visitors who open the address see that the page was not found, while you can open it and see the steps that remain. It opens to visitors once you have at least one weekly availability range and one active Meeting Type. Deactivating every Meeting Type, or deleting your availability, turns it off again without changing existing meetings.

Send meeting page emails your page's link to one person, with an optional note. Choose a Meeting Type to send them straight to it, and a Preferred day to open its calendar on that day. The invitation does not reserve a time: the meeting is made when they choose one, and it appears in All Meetings like any other.
