Meetings
Every meeting people book with you, to confirm, move, cancel or look back on.
All Meetings lists the meetings booked from your meeting page, upcoming and past. A meeting is booked as soon as someone chooses a time; confirming it is optional and sends them a note. You change the time or the attendee's details, and Magpie emails them the change with an updated calendar file.
Get started freeUpcoming and History
Each row shows the date and time in your account time zone, with the attendee's time beside it when their zone differs, and the attendee's contact details, the status, the call link and your notes.
- Upcoming
- Meetings that have not started yet. The tab shows how many there are.
- History
- Meetings that have started, newest first, with cancelled ones. A meeting is marked Completed after its end time, with nothing to archive by hand.
- Download .ics
- Saves a calendar file of the meeting that Outlook, Apple Calendar and other calendar applications open.
When someone books
The meeting is booked
It is on your list straight away, marked Needs confirmation. The attendee's confirmation email asks them to email you to cancel or move it.
Confirm it, if you want to
Use Confirm meeting in the email Magpie sends you, which works without signing in, or Confirm in the Upcoming list. Add an optional note for the attendee.
Add a call
When Zoom is connected and the meeting has no call yet, add a Zoom call as you confirm.
Both of you are told
Magpie emails the attendee and you, and the meeting shows Confirmed.
Change the time or the attendee
Change time or attendee, on a meeting's page, corrects the attendee's name, email address or phone number, the date, the start and end time, or your private notes. Times are entered in your account time zone.
- A new time
- The new time does not have to be within your availability, but Magpie refuses one that overlaps another meeting or a Calendar event. To shorten a meeting, change its end time.
- Telling the attendee
- When the date or time changes, choose whether to email the attendee, with an optional note. The email contains an updated calendar file, and the meeting's Google Calendar event, if it has one, moves too.
- No email address
- A meeting can be saved, changed and downloaded without an attendee email address. Magpie will email the attendee once an address is added.
Cancel a meeting
Cancel meeting is on the meeting's page, and Cancel is in the Upcoming list; use either for a duplicate booking too. Cancelling marks the meeting Cancelled, frees its time on your meeting page and emails the attendee when they have an email address. It also deletes the meeting's Google Calendar event and its Zoom meeting when it has them.
Meetings in Calendar, Contacts and Client Portal
- Calendar
- Your Personal Calendar shows your meetings beside your events and To-dos. Cancelled meetings are left out.
- Contacts
- A contact's Activity lists your meetings with them when the attendee's email address matches one of the contact's addresses.
- Client Portal
- Share a meeting in a client's portal. The client sees it under Meetings, with Join meeting beside an upcoming meeting that has a Google Meet or Zoom address.
