Kanban Boards

Let people outside your team view a Kanban board, suggest cards and comment on them.

Each board has an Outside access setting. When a board is shared to view, people outside the team open its address and see its columns and cards; when it takes suggestions, anyone signed in to Magpie can also suggest cards, comment on cards and heart them. They never add, edit, move or delete cards, and their suggestions wait in the board's Inbox column until a team member approves or deletes them.

Outside access

A new board is open only to its team. Outside access, in the board's Edit details, can be changed at any time. Kanban Boards marks a shared board Open to view or Open to suggestions, and the line under the board's name says who can see it.

Only the team
Nobody outside the team can open the board. For a board in Personal, the option is Only you.
Anyone signed in to Magpie can view
People outside the team open the board's address and see its columns and cards. They cannot open a card, comment or heart.
Anyone signed in to Magpie can view, suggest and comment
People outside the team can also suggest cards, open a card to read it and its comments, add comments and heart cards.
Visitors who are not signed in
With either of the last two options, the address opens without signing in and shows the columns and cards. The visitor is asked to sign in before suggesting a card, opening one, commenting or hearting.

What people outside the team see

On the board
Each column's name and cards, with each card's title, due date, images, number of hearts and number of comments. Suggestions waiting in Inbox are shown too.
On an open card
On a board that takes suggestions, the card's title, description, images, column and who added it, then its comments.
Kept to the team
Assignees, the To-dos on cards and the board's activity log are shown only to the team. A team member who opens the shared address gets the full board.
Comments
On a board that takes suggestions, anyone signed in to Magpie can read every comment on its cards, including comments written before the board took suggestions. The comment box says so.

Suggestions

Suggest a card, on a board that takes suggestions, opens a form for a title and, optionally, a description and images from Your images, uploaded, pasted or dropped.

  1. Into Inbox

The suggestion will go into the board's Inbox column, unassigned and marked Suggested.

  2. Approve

A team member approves a suggestion by moving it out of Inbox into another column. The activity log lists it as approved, and it is no longer marked Suggested.

  3. Turn down

To turn a suggestion down, a team member opens it and chooses Delete card.

  4. Updates for the person who suggested it

The person who suggested a card is its creator, so they will get the card update email when a team member moves, edits or comments on it, unless they have turned Kanban card updates off.

Email to the board's creator

The person who created a board will get an email when someone suggests a card on it or someone outside the team comments on one of its cards. The email shows the suggestion's description or the comment's text, and suggestions and comments on one board are collected into one email once nothing new has arrived for a while.

These emails go to the board's creator only while they are on the board's team. Kanban suggestions, under Email notifications in Account settings, turns them off.

The board's address

When outside access is on, Edit details shows the Board address to copy and send. The address is made from the team's and the board's names, such as /k/acme/roadmap, so renaming the board changes it, and links to the old address stop working.

Accounts and plans

Viewing a shared board needs no Magpie account. Suggesting a card, opening one, commenting and hearting need one, and a free account is enough. People outside the team are not added to it, so they do not count as the team's members or guests.

Outside access is on every plan. The free plan limits the number of boards to 1; Pro and the Team plan have no limit.
