A Kanban board can only be opened by its team until you change its outside access. Outside access lets people who are not on the team see the board and, if you choose, suggest cards, comment on cards and heart them. They cannot add, edit, move or delete cards, or change the board.

Choose who outside the team can see the board

On the board, choose More, then Edit details, and choose one of the Outside access options:

  • Only the team (Only you for a board in Personal): nobody outside the team can open the board.
  • Anyone signed in to Magpie can view: people outside the team can open the board's address and see its columns and cards. They cannot open cards, comment or heart.
  • Anyone signed in to Magpie can view, suggest and comment: people outside the team can also suggest cards, open a card to read its description, images and comments, add comments, and heart cards.

With either of the last two options, the board's address also opens for people who are not signed in: they see its columns and cards, and they are asked to sign in before they suggest a card, open a card, comment or heart.

The line under the board's name says who can see it. On Kanban Boards, the board is marked Open to view or Open to suggestions.

Share the board's address

When outside access is on, Edit details shows Board address. Select it, or choose Copy, to copy it. People outside the team see the board without editing it, and team members who open the same address get the full board. Changing the board's name changes its address, so links to the old address stop working.

Suggest a card

On a board that takes suggestions, choose Suggest a card. Enter a title and, if you want, a description. Choose Add images to pick from Your images, or to upload, paste or drop screenshots. Choose Submit suggestion. The suggestion will go into the board's Inbox column for the team to review. If it cannot be submitted, the form keeps the title, description and images you chose. Images on a suggestion are visible to everyone who can view the board.

Review suggestions

A suggested card is in the Inbox column and is marked Suggested until a team member moves it to another column. Moving it out of Inbox approves it, and the activity log lists it as approved. To turn a suggestion down, open it and choose Delete card.

The person who suggested a card is its creator, so they get the card update email when a team member moves, edits or comments on it, unless they have turned Kanban card updates off.

Comments and hearts from outside the team

On a board that takes suggestions, anyone signed in to Magpie can select a card to open it. They see its title, description, images, column and who added it, read its comments, and add their own with Comment, with images if they want. They can also vote for a card by selecting its heart; each card shows how many hearts it has. Every comment on such a board, including comments written before the board took suggestions, can be read by anyone signed in to Magpie who opens the board, and the comment box says so.

Email about suggestions

The person who created a board gets an email when someone suggests a card on it, or when someone outside the team comments on one of its cards. The email shows the suggestion's description or the comment's text. Suggestions and comments on one board are collected and sent in one email once nothing new has arrived for a while. A comment on a card the board's creator made is in their card update email instead. These emails go to the board's creator only while they are on the board's team.

Turn these emails off with Kanban suggestions under Email notifications in Account settings.

If a suggestion does not appear in the board's Inbox after it was submitted, Contact support.
