Daily Operations

Record temperatures against your own limits, and turn each failure into an incident with corrective actions.

Each fridge, freezer or hot-holding point has the limits your business sets. A reading out of range, a failed check or a report from staff becomes an incident at the location, with corrective actions given to people. Reports count checklists, readings and incidents over a range of dates.

Temperature points and limits

A temperature point is a place someone checks at a location: a fridge or cold room, freezer, hot holding, cooking, cooling, deliveries or other. Managers add points and set their limits.

Target range and critical limits
Each point has a lowest and highest target temperature and a critical low and high limit. The business sets them; Magpie does not decide which limits apply.
Starting limits
Points added with the starter routines have starting limits, marked as not confirmed until a manager confirms them.
What to do
A point's written steps for a reading out of range will be listed on the incident.
°C or °F
Readings are typed in the team's unit. Each one keeps the value as typed, its unit, the limits that applied and who recorded it.

Recording a reading

Readings are typed by the person taking them, on Temperatures or in a checklist's temperature step.

  1. Outside the target range

A medium incident will be created at the location, listing what to do and a follow-up reading to take.

  2. Outside a critical limit

A critical incident will be created, and the location's shift leads, managers and team admins will be told.

  3. The follow-up reading

Recorded on the incident's page, it completes that action.

  4. Correcting a reading

A manager can correct a reading with a reason. The corrected value is added at the time of the original, and the original stays in the list, marked as replaced.

Reporting an incident

An incident is something that went wrong at a location. Anyone who works at the location can report one with what happened, how serious it is (Low, Medium, High or Critical) and a photo. A failed check reports one when its step is set to, and a reading out of range always does.

Severity
A shift lead can change an incident's severity. Lowering it needs a reason, and lowering a critical incident needs a manager.
The incident's page
An incident's page records its kind, such as Equipment or Food safety, what was done straight away, updates and photos, and lists every change on its timeline.
Equipment out of service
An incident about a piece of Asset Tracker equipment can take it out of service, and Asset Tracker will show it in maintenance until a shift lead puts it back.
Open an Issue
A shift lead can open an Issue for a longer-term fix, linked to the incident.

Corrective actions, resolving and closing

  1. Give each action to someone

Anyone who works at the location can add an action and give it to someone with a due date. That person will be told and will see it under Your work on Today until it is done.

  2. Checking and Not needed

A shift lead can make an action need checking, and mark one that is no longer needed as Not needed.

  3. Resolve

Resolve records how the incident was fixed, once every action is done or not needed; finishing the actions does not resolve it. A manager resolves high and critical incidents.

  4. Close or reopen

Close incident marks a resolved incident as finished, so nothing on it can be changed; a shift lead closes it, or a manager for a critical one. Reopen… opens it again with a reason.

Alerts and escalation

High and critical incidents will be sent to the location's shift leads, managers and team admins, by email and on their phone, and so will an incident raised to high or critical.

A shift lead or manager chooses Acknowledge to show an incident has been seen; it resolves nothing. If nobody acknowledges a critical incident, it will be sent to team admins and managers again after the time a team admin sets under Escalate critical incidents after, such as 30 minutes, up to 2 times. The setting can also be Never.

Reports over a range of dates

Reports counts what happened by business day, over up to 366 days. Shift leads, managers, auditors and team admins can open it, for one location or every location their role covers.

Checklists
How many were completed on time, completed late, missed and skipped, and how many checks failed, for each routine, with the latest failed answers.
Incidents
How many were reported, of each severity and still open, with the median time to acknowledge and to resolve them.
Temperature records
For each point, the number of readings, those outside the target and outside a critical limit, and the days with no reading. A corrected reading is counted once.
Unfinished work at opening or closing
The report lists each opening or closing confirmed with work unfinished, who confirmed it and the reason they gave.
Download CSV
Download CSV exports the checklists, temperature readings or incidents for the same dates and locations, one row each. The readings file has each reading in °C and as typed, with the original of a corrected reading marked as replaced.
