Time Tracking
Start a timer or add time already spent, and see it by day and by week.
Time Tracking records the time you spend on work as entries, each with a description and, if you want, a project, a tag and a Contact. The timer is saved in Magpie, so it keeps running after you close the browser, and a Contact, Issue, To-do or Calendar event can start one linked to itself. Entries belong to Personal or a team, and each person records and changes their own.
Get started freeThe timer
Enter what you are working on, choose a project and a Contact if you want, and start the timer. It is saved in Magpie, not in the browser, so it keeps running when you leave the page or close the browser.
- One timer across your teams
- You can have one running timer across Personal and all your teams. After you switch to another team, Today says which team the timer was started in, and you can still stop it.
- In the page bar
- On other pages, the running timer's elapsed time is in the page bar beside your account menu. Stopping it from the page bar keeps you on the page you were using.
- A timer left running
- When a timer has been running for several hours, Magpie asks whether to stop it or keep it running. It asks once for each timer, and never changes the recorded time by itself.
Add time already spent
Add time records work done without a timer: a description, then either a duration or a start and end time in your account's time zone.
A duration
Type 1h 30m, 90m or 1:30. With a start time, the duration counts forward from it; without one, the entry ends at the current minute.
A start and an end
Enter both for work on another day, or at times you know.
The optional details
A project, a tag, a Contact, whether it is billable, and notes. A team admin can also set the entry's hourly rate and its currency.
Today and Week
- Today
- Lists the day's entries and its total. The arrows beside the date open the previous or next day, and the date opens any other.
- Week
- A timesheet of time by project and day, from Monday to Sunday, with each project's total and the week's.
- Add from the week
- Selecting a cell for an active project opens that day with the project ready for a new entry.
Projects, tags and Contacts
A project groups entries for one piece of work or one client; an entry does not need one. A tag labels entries across projects, such as Meetings or Travel, and an entry can have one tag. A Contact links the entry to the person or company the work was for.
Week totals time by project, and Reports totals it by project, Contact and tag. Team admins add the projects and tags, and every member can choose them for their time.
Change, split or delete an entry
Each entry has its own page. Its description, start, end, project, tag, Contact, billing and notes are saved as soon as they are changed. A running timer's times can be changed once it is stopped.
- Split entry
- Splits a completed entry in two at a time inside it, such as a morning that covered two clients. Both parts keep the description, project, tag, Contact, rate and links.
- Delete time entry
- Deletes a completed entry. It is in the entry's More menu, with Split entry.
- Time on an invoice
- An entry on a draft invoice can be changed again once its line is removed from the draft. Invoiced time cannot be changed.
Start a timer from other areas
A timer started from another record is linked to it, and you stay on the record's page. The entry shows the link, which opens the record.
- Contacts
- Start timer on a contact's page links the entry to the contact. The page's Time section lists the time you tracked for them.
- Issues
- The timer takes the issue's title as its description. Your time, in the issue's properties, shows the time you have recorded on it.
- To-dos
- Start timer on a To-do's page takes its title and links the entry to the To-do.
- Calendar
- Start timer in an event's drawer uses the event's title. The entry records when you started and stopped, separately from the event's scheduled times.
- Staff Scheduling
- Start tracking time on your own published shift, from before it starts until it ends, starts a timer linked to the shift.
- The assistant
- On the Dashboard, the assistant can start a timer with a description, stop the running timer and search the entries you recorded.
Who records and changes time
Entries belong to Personal or to the team selected when they were recorded, and each entry belongs to the person who recorded it. Every member of a team can record time and change their own entries. Nobody changes another person's entries, admins included.
Team admins manage projects, tags and hourly rates, and choose what members can see of each other's time in Reports. In Personal, you do all of these yourself.
