Draft, Due, Overdue, Paid and Void are separate views. The outstanding and overdue totals follow your search and Contact filter, so the amount above the list describes the invoices you are looking at.

Billing defaults, invoice totals and delivery

Customer and payment terms
Choose a Contact. Its saved billing details and payment terms can supply the new draft.
Line items and totals
Set quantities, unit prices, discounts and tax. Totals update as you work and are recalculated when you save.
Your business details
Add a logo, address, registration number and terms. Invoicing settings supply defaults for new drafts.
A final PDF
Issuing fixes the invoice’s number, details, amounts and PDF. Resending uses that original PDF.
Delivery records
Send to saved or additional recipients. Each address receives its own email and delivery result, recording whether the email service accepted it.
Payment history
Record a payment when it arrives. Void an unpaid invoice without losing the invoice record.

Work on the draft before you send it.

Preview the PDF, adjust the items and terms, then review the recipients. An issued invoice stays final; duplicate it when you want a new draft for similar work.

From recorded work to invoice items

Time Tracking

Admins can add their completed, unbilled Time Tracking entries to an invoice draft. Each selected entry becomes a line item using its rate and billing rounding.

Contacts

Start with the Contact you are billing. Customer details, payment terms and invoice history belong to that customer relationship.

Before you create an invoice

Does marking an invoice paid collect a payment?

No. It records that payment arrived. Magpie Invoicing does not charge a card when you mark an invoice paid.

Can I use Invoicing in Personal and in a team?

Yes. Each invoice belongs to the selected Personal or team context and bills a Contact in that context.

What changes between Free and Pro?

Free allows five new invoices per month; Pro does not cap them. Editing or resending an existing invoice does not use another invoice allowance.
