In Magpie öffnen

In the Magpie app, open Store and choose Sell. Each sale becomes a Store order marked In person, takes its items from the stock at the location you sell from, and is recorded as handed over.

Choosing where you sell

The first time you open Sell, choose the location you are selling from if your Store has more than one (stock locations). The phone remembers it. Change location chooses another.

Opening the register

A register is one location's sales from opening to the cash count at closing. Enter the cash in the register under Starting cash (or leave it empty for none) and choose Open register. Every phone selling at that location uses the same register, so open it once.

Making a sale

  1. Add items: tap an item in the list, search by name, SKU or barcode, or choose Scan and point the camera at each item's barcode. Each scan adds one.
  2. Choose the cart button, which shows how many items are in it (Cart on the Sell screen, Go to cart on the scan screen). Change quantities with One more, One fewer and Remove. If the customer has a discount code, enter it and choose Apply code. A code you type is also applied when you leave the field, or when you choose Take cash or Take card: the app then shows the new total and waits for you to choose again. Automatic discounts apply as they do in your online Store. The total comes from your Store's prices.
  3. Enter the customer's email address under Customer email if they want a receipt. The receipt will be emailed when you record the sale.
  4. Choose Take cash, enter the cash handed over (or leave it empty for the exact amount), and Magpie shows the change. Choose Record cash sale.

Tax is not added to sales made in person, as for orders made by hand. Gift cards cannot be sold or used at the register, and personalisation fields are not asked.

Sending a sale again after a lost connection does not record it twice.

Card payments

Taking cards with Tap to Pay needs an update to the Magpie app that is not available yet. Until then, Sell takes cash only and says so on the cart.

When it is available, a card payment goes to your Store's Stripe account like an online order, with no Magpie fee. Stripe needs the address of each location where you take cards; the app asks for it the first time. The items are held for 30 minutes while the card is collected. If the card is not charged, the sale is canceled and the items go back to stock.

Receipts

After a sale, the app shows what was sold, the change and whether a receipt was emailed. To give the customer a receipt, or another one:

  • Email receipt sends it to the address you enter, in your Store's language. A sale can be emailed up to 5 times, counting the receipt sent with the sale.
  • Share receipt link opens the phone's share sheet with a link to the customer's order page, so you can send it by text message or another app.

Choose New sale to start the next sale.

Closing the register

Choose Register on the Sell screen. It shows the starting cash, cash sales, cash refunds, card sales and the cash Magpie expects:

Cash expected = starting cash + cash sales − cash refunds

Count the cash, enter it under Cash counted, choose Close register and confirm. When the cash counted is not the cash expected, the app also asks Why is the cash different?, and the answer is kept with the register. Magpie records the count and the difference, and the app shows how much more or less cash there is than expected; on the website, more cash than expected shows as a plus. You can then open a new register for the next day.

A refund of a cash sale made in person is paid from the register open at that location when you record it. A refund recorded when no register is open there is not part of any count.

Registers on the website

Store › In person lists every register, newest first, with its sales, cash expected, cash counted and difference. Open one to see its sales and cash refunds. A register someone forgot to close can be closed there with Close register…: enter the cash counted, and when it is not the cash expected, answer Why is the cash different? A register with a difference does not close without a reason, in the app or on the website. The reason is shown with the count on the register's page.

In Store › Orders, choose In person under the channel filter to list sales made in person, and the CSV export has their channel. An in-person order shows where it was sold, and for cash, the amount handed over and the change.

Who can sell

Team admins can sell. Give other team members Sell in person in Who can work in Store. It lets them use Sell, email receipts and open and close registers in the app. Seeing Store › In person and the orders on the website needs See orders.

If a sale shown as recorded in the app is not on its register under Store › In person, Contact support.
