Stock locations and transfers
Keep stock in more than one place, see what each location holds, move stock between locations with transfers, and ship from the right one.
A location is a place the Store keeps stock, such as a warehouse, a shop or a market stall. Every Store has one location, the default location, called Main location until you rename it. While the Store has one location, nothing else in Store asks you to choose one.
Adding a location
Open Store › Stock, choose Locations, then New location, and enter its name. On its page, click the name or the address to change it. A new location has no stock until you record stock there, receive a delivery there or move stock to it with a transfer.
Choose Make default on a location's page to make it the default location. Stock already at each location stays where it is.
From More you can delete a location with no stock history, or archive one that has history. A location with stock on hand, or with a transfer that is not finished, cannot be archived or deleted: move its stock elsewhere with a transfer, or count it out, first. The default location cannot be archived.
What each location holds
With more than one location:
- Store › Stock has a location filter. Choosing a location lists the items with stock there and adds a column of its units. On hand stays the total at every location. In transit shows units on transfers that have not arrived. Export CSV adds a column for each location.
- A product's Stock page lists each item's stock at each location. When you record a stock change there, choose the location it happened at. The history shows the location of each change.
- On a product's Price and inventory page, the stock is the total and cannot be changed. Change it at each location on the Stock page.
Held for checkout, Available, low stock and out of stock are for the whole Store. A buyer can buy an item while any location has it.
A total set without choosing a location, from a CSV import, Edit in a table, the API or the assistant, changes the stock at the default location by the difference. A stock count in the Magpie app counts one location you choose and changes the stock only there.
Moving stock with a transfer
- Open Store › Stock, choose Transfers, then New transfer, and choose where the stock leaves from and where it goes.
- On the transfer's page, choose Add item and add each item with how many to send. While it is a draft you can change the locations and quantities.
- Choose Send. The items leave the stock at the first location and are in transit. Items in transit are in no location and cannot be sold.
- When they arrive, enter how many of each arrived under Receive items and choose Record received. They are added to the stock at the second location. You can receive them in parts.
A sent transfer that has received nothing can be canceled from More; its items go back to the location they left from. A partly received transfer can be closed from More when the rest will not arrive. Those items stay out of stock.
Items arrive at the average cost they left at, so a transfer does not change the value of your stock unless items do not arrive.
Locations and transfers in the Magpie app
In the Magpie app, open Store and choose Locations to see the units at each location, and select a location to see the items there. Transfers lists open transfers; choose Show to see every transfer.
To move stock from the app, choose New on Transfers, choose From and To, then Add items. Search for an item and select it, or choose Scan and scan its barcode; each selection or scan adds one. Select an item on the transfer to change how many to send. Create transfer saves it as a draft, then Send on the transfer takes the items out of the first location.
When items arrive, open the transfer and choose Receive items. Enter how many of each arrived and choose Record received, or choose Receive all. Close transfer and Cancel transfer are in the transfer's menu.
Team admins and members with the Manage stock permission can use locations and transfers in the app. Adding, renaming and archiving locations are not available in the app.
Deliveries, orders and returns
- Purchase orders: under Receive items, choose where the delivery arrived. The default location is chosen first.
- Orders: a paid order takes its items from the default location, or from the location of the pickup method the buyer chose. If that location does not have enough, the rest comes from the location with the most. When you add a shipment, choose where it ships from under Ships from. If that is another location, the items are taken from there instead.
- Orders made by hand: on New order, Take stock from chooses the location the items leave. If it does not have enough, the rest comes from the location with the most.
- Pickup: on a shipping zone, a local pickup method can name the location buyers collect from.
- Returns: when you record a return's arrival, choose where the items go back into stock. Items restocked from a refund go back where the order took them from.
Items that sell licence keys are counted at the default location and cannot be transferred.
If the stock at a location does not match what is there, record a stock count correction at that location on the product's Stock page. For anything else, Contact support.
