Calendar shows what is happening when, in Personal or the selected team. Agenda lists the coming days that have something on them, 14 days at a time, Day shows all 24 hours of one day, and Month shows a month. Today and the arrows move between periods. In Month, each item starts with its start time, then its title; all-day items and deadlines have no time. Times are in your device's time zone.

What appears

Each kind of item has its own marker, and the key under the calendar names the ones shown.

  • Events made in Calendar, including the events Appointments adds for each customer booking. A private event is shown only to the person who made it.
  • Meetings from your meeting page, on your Personal Calendar only. Cancelled meetings are left out.
  • Scheduled To-dos on their When date and Deadlines on their Deadline date. Completed To-dos are left out. A team Calendar shows the team's To-dos to members who can use To-dos in that team.
  • Shifts: your published Staff Scheduling shifts from every team, on your Personal Calendar, unless you switched off Show shifts in Calendar on Staff Scheduling's Notifications page.
  • Google Calendar events on your Personal Calendar, when Google Calendar is connected; see Connect Google Calendar.
  • Social Media posts, as chosen in Calendar settings (below).

A team Calendar shows that team's events and To-dos. It never shows a member's meetings, shifts or Google events.

Add and move events

Choose + Event to add an event; see Create public and private calendar events. In Day view, selecting an empty part of an hour starts an event at that time, and dragging an event to another time moves it, keeping its length. In Month view, selecting empty space in a day starts an event on that day, and selecting the day's number opens it in Day view. Members with View only access in a team see its Calendar but cannot add or change events.

Personal and each team have their own limit on the number of events: 100 on the free plan, and 5,000 with Pro for Personal or the Team plan for a team.

Selecting an item opens it: an event opens beside the calendar, a meeting, To-do or shift opens its page, a Social Media post opens in its team, and a Google event opens in Google Calendar.

Each view and date has its own address, so the browser's Back button returns from a day to the view it was opened from. Esc does the same in Day view, and opens Month when Day view was the first thing opened. On a computer, the view buttons stay at the top of the page while the hours scroll.

Your meeting page

Events you made, in Personal or a team, and events you answered Going to block the same time on your meeting page. Your meetings and connected Google Calendar busy times block it too.

Calendar settings

Calendar settings has:

  • Time increment: the steps used for event start times and lengths. It does not change existing events.
  • Social Media posts: which posts from Personal and your teams appear on your Personal Calendar. None (the default) shows none, Your posts shows posts you wrote or scheduled, and All posts shows every scheduled and published post. A post from a team shows the team's name and colour. Posts come only from teams where you can use Social Media, and the choice changes only your own Personal Calendar on the website. A team admin can also show all of a team's posts on that team's Calendar; see Write, schedule and publish social posts.
  • Google Calendar: whether it is connected, whether Google events show, and which calendars are added to Google, with a link to Integrations.

Calendar files

A meeting's page, and the Upcoming list in All Meetings, have Download .ics, which saves that meeting as a calendar file that Outlook, Apple Calendar and other calendar applications can open. The file is a copy: a later change in Magpie does not change a file already downloaded. Calendar has no download of all its events; to see them in another calendar, add them to Google Calendar (Connect Google Calendar). Staff Scheduling shifts have their own subscription address; see See your shifts and ask for changes.

In the mobile app

The mobile app's Calendar lists one week at a time: events, meetings and To-dos, in your account time zone. Previous week and Next week move between weeks, New event adds an event, and the menu has Today and Calendar settings for the time increment. Google events, shifts and Social Media posts appear only on the website.

If an item seems to be missing, check whether Personal or the right team is selected and go to the date it starts on. If it is still missing, Contact support.
