Choose + Event on Calendar, or select an empty time in Day or Month view. Enter a title and, under When, a date, a start time and a length, or tick All day. Location and Description are optional. Choose Save event. Select the event later to change it, or choose Delete event. Events do not repeat; add each occurrence as its own event.

The event belongs to Personal or the team that is selected. Sharing and responses, in the same panel, holds the choices below.

Who can find it and what they see

Who can find it:

  • Private: only you. Other members do not see it on a team Calendar.
  • Team members: everyone in the team, and anyone you invite.
  • Anyone with the link: anyone who has the event's address. It is not listed on your public calendar.
  • Public calendar: listed on your public calendar, and anyone can open it.

What they see applies to everyone except you and team members who can edit the event:

  • Busy only: the time, titled "Busy". A Busy only event takes no responses.
  • Title and time: no description or location.
  • Full details: everything.

Responses and capacity

Under Responses, choose RSVPs to let people say whether they are going. Capacity stops RSVPs once that many people are going, and the event's page then says it is full; leave it empty for no limit. Show attendee count shows how many are going on the event's page and your public calendar.

People respond on the event's page with Going or Not going. They must sign in or create a Magpie account first. Each person decides whether to tick Show my name if the organizer shares attendee names. Consenting attendee names decides who sees the names of those who ticked it: Organizer only, Attendees (people who are going) or Everyone. You always see every response and email address.

Invitations and responses

For an event that is not private, choose Manage invitations and attendee responses in its panel. The page that opens has:

  • View event page, and Share event for an event anyone with the link or anyone at all can open.
  • Create invitation: enter an email address to send a one-use invitation by email, or leave it blank to make a reusable link with a number of uses. Choose when it expires. A reusable link is shown only once, so copy it before leaving the page.
  • Invitations: each invitation with its uses and expiry. Revoke stops it being used; responses already recorded stay.
  • Attendees: everyone who responded, with their email address and whether they allowed their name to be shown.

An invitation lets someone outside the team open a Team members event and respond to it.

Public calendar and event pages

Your public calendar is at the address of your meeting page followed by /calendar. It lists your upcoming events set to Public calendar. When your meeting page is open to visitors, the page has tabs for Meetings and Calendar.

An event's page shows its title, organizer, date, time and time zone, location and attendee count, with RSVP beside them, then About and the attendees. A link under it opens the organizer's other public events. A team member who can edit the event sees Edit in Magpie, which opens the event's page in Magpie. Private details are left out as What they see sets.

Meeting times in older events

Calendar events no longer offer meeting times to book. Use Meeting Types and your meeting page when someone should choose a time with you; see Availability and Meeting Types. An older event that already offers meeting times keeps them as Legacy meeting times, and people can still book one from its page.

Track time from an event

An event's panel has Start timer, which starts a Time Tracking timer with the event's title as its description and a link back to the event. The timer runs from when you start it until you stop it; it does not use the event's times. Stop a running timer before starting another. See Track time.

In the mobile app

The mobile app can create, edit and delete events, and set Visibility, Details shown, Responses and Attendee names, the same choices under shorter names. Capacity and Show attendee count are set on the website. Times are entered in your account time zone. While you edit, the app keeps a draft on the device and restores it only if the event has not changed since; saving, deleting or discarding removes it. For an event that is not private, Manage invitations in its menu sends an email invitation or creates a link to share, lists earlier invitations and revokes one. Share public event shares the event's address. Legacy meeting times are changed on the website.

If a public event cannot be opened while signed out, check Who can find it and What they see. If responses or names do not follow the settings, Contact support.
