Store
Ship Store orders in one or more parcels, refund them in full or in part, and handle returns.
Orders lists every sale from the online Store, from orders you record by hand and from selling in person with the Magpie app. Each order ships in one or more parcels with tracking, or is collected by the customer, and its refunds and returns are recorded on it.
Get started freeThe order list
Search orders by number, customer name or email, filter them by payment, tag, date and where they came from, and export what the list shows as a CSV file with one row per item.
- Tabs
- The tabs are To ship, Partly shipped, Shipped, Pre-orders for orders with items on back order, Local deliveries, and Waiting for payment for orders sent a payment link.
- History and notes
- An order's history lists its payment, emails, shipments, refunds and changes, with who made each. Notes are for the team; the customer does not see them.
- New order alerts
- When an order is paid, the team's admins and owner will get an email and a notification in the Magpie app, unless Store settings turn them off.
Shipping an order
An order is Partly shipped until everything physical in it has shipped. Digital items are delivered by download.
Add a shipment
Set how many of each item are in the parcel, with the carrier, tracking number and tracking address. The customer will be emailed what is in the parcel and its tracking.
Ships from
When the Store keeps stock in more than one place, choose the location the parcel leaves from, and its stock will be taken from there.
Many orders at once
Mark shipped gives each ticked paid order one shipment of everything left, without tracking. Packing slips prints a slip for each, without prices, and a pick list totalling the items across them.
Pickup and local delivery
Mark ready for pickup will email the customer the pickup address, times and instructions. A local delivery order shows the date the customer chose.
Shipping zones, profiles and delivery estimates
A shipping zone groups the places that share shipping methods: whole countries, or states, provinces or postal codes in one country. Where zones overlap, the most specific applies. Store charges the rates you set up; it does not quote carrier rates or buy labels.
- Methods
- A method is Flat rate, Free, Free over an order amount, By weight or By order amount (from a table of ranges you set), Local pickup or Local delivery.
- Shipping profiles
- A profile groups products that have methods of their own, such as large items that go by freight. A cart with products from several profiles is offered combined methods, such as Standard + Freight, at the sum of their prices.
- Delivery estimates
- An estimate is your handling time plus the method's transit time, in business days. It is shown beside the method at checkout, and as dates on the order and its emails.
- Local pickup and local delivery
- Buyers who choose pickup see its address and are not asked for a shipping address. Local delivery is offered to the postal codes you list, and buyers pick one of the next 14 days you deliver.
Refunds
Refund all of what is still refundable or part of it, and the rest later. The money goes back the way the customer paid, through the Store's Stripe account for a Stripe payment, or as Store credit: a new gift card emailed to the customer, with nothing refunded through Stripe. For an order paid outside Stripe, the refund is recorded and you pay the money back. A refund cannot be undone.
Refunding and returning items to stock are separate choices: for each item, enter how many go back. Items return to stock once the refund succeeds, and never more than the order sold. When a customer disputes a payment, the order shows it, and the dispute is answered in the Stripe account.
Returns requested by the customer
Customers ask for a return from their order page, choosing the shipped items, a reason and an optional note. Store settings choose how long after the last shipment they can ask (14, 30, 60 or 90 days), or No online returns.
Approve or decline
The customer will be emailed your message either way. An approval adds your returns policy, and a decline needs a reason.
Record arrival
Enter how many of each item arrived and how many go back into stock.
Close the return
Refund the customer, send replacements at no charge as a new order, or close without a refund.
Orders recorded by hand and payment links
New order records a sale made outside the online Store: the items, any price you charged differently, the customer and, if it ships, the address and shipping charged.
- Paid outside Stripe
- Record a payment by cash, bank transfer, cheque, a card terminal outside Stripe or another way. The order is created paid and its items leave stock. Accounting holds the money in Undeposited funds until you record the deposit.
- Payment link
- The order is created unpaid with its items held, and Magpie makes a Stripe payment page for its total, which can be emailed to the customer. A link works for 24 hours, and a new link stops the old one.
- Cancel an unpaid order
- Its payment link will stop working and its items will return to stock.
Who can ship and refund orders
Team admins can do everything in Store. Other members of the team can be given permissions one at a time, which apply while Team access lets them use Store: See orders; Ship and edit orders, which includes recording sales made by hand and handling returns; Refund and cancel orders; and Manage shipping.
