Staff
Keep a file for each person who works for you, with their details, employment, pay, contacts, documents, qualifications, time off, checklists and policies.
Staff keeps a file for each person who works for you: their details and address, their employment, pay, emergency contacts, documents, qualifications, time off, checklists and the policies they have read. It uses the same people as Staff Scheduling, so a person added in one is in the other, and their shifts, positions and availability stay where they are.
Who can use it
Staff is open to the team's admins, to the managers they name in Settings, Managers, and to each person with a file, who reads their own as My file.
- A team admin keeps every file and changes the settings.
- A manager keeps the files of the people at their locations, every location or some. A manager sees pay only with Can see pay; this is also who sees shift costs in Staff Scheduling.
- Someone who edits the schedule in Staff Scheduling sees the scheduling part of a file.
- A person sees My file: they change their contact details, address and emergency contacts, add a document or a qualification for a manager to check, ask for time off, tick their checklist items and acknowledge policies, on the website or in the Magpie app. They never see notes, and they see their own pay only when the team's setting allows it.
People
Until the team is set up, People opens with Get started: add the people who work for you, then, if you want them, check the full-time week and leave year, add holidays, name managers, invite people to their file and publish a policy. Skip takes away a step you do not need, and Hide takes away the whole band.
People lists everyone, under Current, Starting, Left and Archived. Find someone by name, email or staff number, or narrow the list by location and position. Add person asks for a name, an email if you will invite them, and a start date. More adds team members, several people from a pasted list of names and addresses, or a list from another app (Bring your people into Staff by pasting JSON).
Two files with the same email and no Magpie account are listed under Two files for one person. A team admin chooses Merge…: the older file keeps everything from both, and the other becomes "Former staff member".
A row with a number at the right has things that need you: an expired document or qualification, an overdue checklist item, a policy past its due date.
A person's file
The file shows the person's facts where they are, and each edits in place:
- Details: preferred name, email, phone, date of birth, staff number and address.
- Employment: start date, probation, end date and reason, job title, how they work and their contracted hours from a date. Someone who comes back gets a new employment; the earlier one stays.
- Pay: hourly or yearly rates from a date. Only those who can see pay see it.
- Emergency contacts, Notes for managers, and History, which lists every change with who made it.
More beside the name downloads the file as a PDF, archives the person, and, for a team admin, moves the file of someone who has left to Trash. Deleting it from Trash keeps the person's place in past shifts as "Former staff member" and removes everything else.
Settings
Settings sets the full-time week, probation, the leave year, reminders, whether people see their own pay, how long to keep files after someone leaves, and the lists the area uses: managers, time-off policies, holidays, qualifications and kinds of document.
Reports
Reports shows headcount, starters and leavers, time off, qualifications, policy acknowledgement and probation ending soon, for the months you choose, each with a CSV.
