Add resources and set their hours and rules
Add a room, space or piece of equipment to Resource Booking, set its open hours and booking rules, and close it for unavailable times.
Team members with edit access add and change resources. Everyone in Personal or the team can book them; see Book shared resources.
Add a resource
Choose Add resource on the Resource Booking page or on Resources, and enter its name. To book equipment you already track, choose the asset under Or book equipment you already track and then Make it bookable. The new resource's page opens next.
A new resource is open Monday to Friday, 9 AM to 5 PM, in your time zone, and its bookings are confirmed automatically.
A resource linked to an asset takes its location and status from Asset Tracker; its name and description start as the asset's and can be changed for booking. Resource Booking does not copy the asset's serial number, purchase price or private notes. The resource's page links to the asset.
A resource's details
On the resource's page, click any detail to change it:
- Type, Location, Capacity and a description.
- Bookings: Confirmed automatically, or Need an admin's approval. A request then waits until a team admin decides; see Approve booking requests and see resource use.
- Time zone: the zone its open hours and bookings are in.
- Booking instructions: shown to people when they book it, such as where to collect the key.
Booking rules and open hours
Under Booking rules, set the Shortest booking, Longest booking,
when bookings Starts and ends (every 5, 10 or 15 minutes, on the half hour
or on the hour), the Notice needed, how Furthest ahead it can be
booked, and Setup before and Cleanup after time kept free around each
booking. Type lengths as you would say them, such as 30 min or 2 hours.
Under Open hours, click a day and type hours such as 9–5 or
8:30 am – 6 pm. Clear a day's hours to close it that day. Every booking has
to fit inside these hours.
Taken times lists bookings and closures. Choose dates and then Show dates to see another period of up to a year.
Close a resource for a time
For a holiday, repair or other closure, choose More and then Unavailable times. Enter a reason and when it starts and ends. Nobody can book the resource during that time; the reason is shown only to people who can edit resources. Remove an unavailable time from the same drawer.
Resource types
On Resources, Resource types lists the types used to group resources, such as rooms or cameras. They are separate from Asset Tracker categories. Click a name to rename it, add a type at the end of the list, or archive or restore one. Resources keep an archived type, and it is not offered for new ones.
Archive a resource
Choose More and then Archive resource on its page. It stops taking bookings and leaves the list on the Resource Booking page; its past bookings are kept, and Restore resource in the same menu brings it back. A resource with upcoming bookings cannot be archived until they are cancelled or moved. Archiving does not change its Asset Tracker record.
Mobile app
Choose Add in Resource Booking to create a resource by name, then tap its details, hours or booking rules to change them on its page. Text changes save when you choose Save; choices save when selected. Its menu contains Unavailable times and Archive resource.
The resource's page shows Availability before its booking rules. Choose From and To, then Show dates, to browse bookings and closures over a period of at most one year. Times use the resource's time zone.
The list's menu contains Manage resource types. Touch and hold a type's status to archive or restore it. To link an asset, open its page in Asset Tracker and choose Make bookable in Resource Booking from the header menu.
For the asset's own details and history, see Track individual assets. For a problem setting up a resource, Contact support.
