An accountant is a guest of the team with Accounting. They keep the books with you and can open nothing else of the team. Any team can have accountants, Personal included. They count as guests: 10 on the free plan and 100 on Pro and the Team plan. See Guests on a team for guests in general.

Add an accountant

An admin selects Add accountant under Accountants in Accounting Settings and enters the accountant's email address or handle. In Personal, you do this in your own Accounting Settings. Someone invited by handle sees the invitation on Your teams and in the Magpie app. Someone invited by email gets the email, and if they have an account at that address, the invitation is on their Your teams too.

You can also invite an accountant from the team's Members page: select Invite people, choose Guest and switch on Accounting.

An invitation works for 14 days. Accounting Settings lists it under Accountants as waiting, with the date it expires. Resend sends a new link and stops the old one working. Revoke stops the invitation.

What an accountant sees

After accepting, the accountant selects the team in their Personal or team selector, where it is labelled Guest, and opens Accounting. Someone who keeps the books of several teams selects each team in turn.

Entries from invoices, invoice payments and expenses link to a read-only summary of the record, because an accountant cannot open Invoicing or Expenses. Receipts stay in Expenses. An entry from another area, such as a Store order, names where it came from without a link. An accountant cannot link Asset Tracker items to fixed assets.

Remove an accountant

Each accountant under Accountants opens their guest page. An admin removes them there with Remove, or with Remove beside them under Guests on the Members page. An accountant can leave from Your teams with Leave. A team that moves to the free plan keeps its accountants. Accounting Activity records each invitation sent or revoked from Accounting Settings.
