Each file has a Documents band. Documents are kept encrypted, and only the people who can read the file can open them.

Add a document

  1. Open the person's file.
  2. In Documents, choose Add document.
  3. Choose the file, its kind and, for a kind that expires such as a visa, its expiry date.
  4. Tick They can read it to show it on their My file.

Documents that have expired or expire soon are listed first, and the People list counts an expired one as needing you.

Someone added from Hiring with Add to Staff gets their application's files as documents of kind Application, which they can read.

A person can add a document on My file. It shows as To file until a manager opens it and chooses File it.

Send a document for signature

  1. In More beside the person's name, choose Send a document to sign.
  2. Choose one of the team's E-Signatures starters, or upload a PDF.
  3. Choose what to file the signed copy as, and tick I sign it too if you sign after them.

A starter with its signature boxes in place is sent at once. An uploaded PDF opens in E-Signatures, where you place the boxes and send it. When the person signs, the signed copy is filed on their file, readable by them. A declined or withdrawn request shows as such, and you can send it again.

Kinds of document

Settings, Kinds of document lists the team's kinds: Contract, Identity, Right to work, Visa or permit, Reference, Training record, Application and Other to start with. Rename a kind, add one, mark it as one that expires or as one the person reads by default. A kind in use is archived rather than deleted.
