B&Bs, guesthouses and vacation rental hosts

Every room is turned over with a checklist and photos. Your housekeepers see their shifts, and guests ask about a stay on your own website.

A guesthouse works in one Magpie team, and a host on their own in Personal. Guests use the website, forms and invoices you send.

Guests find your rooms on your own website, at your own domain.

Websites is Magpie's site editor. The site is built from sections, such as the rooms, breakfast and how to find you. You change the words by clicking them.

A button can open your stay request form. The site can be at your own domain.

Port Alder Guesthouse’s website open in the Websites editor in Visual mode: the Home page with a welcome and an Ask about a stay button under the site’s header, the sections to add, and the Page inspector with the site’s colours.

Guests ask about a stay with the dates and the room they want.

Forms builds a stay request form, with questions such as the arrival date and the room. Every request comes into one list.

You get an email for each new request. You reply with what is free and the price.

The Form builder with Port Alder Guesthouse’s stay request form: a short welcome, then questions for a name, an email, the arrival date and the number of nights.

A direct booking is billed on an invoice the guest pays by card.

Invoicing bills the stay, with the room, the nights and the tax. The guest pays by card from the invoice email.

Payments go to your own Stripe account, and Magpie adds no fee to them. A bank transfer can be recorded too.

An invoice for a three-night stay at Port Alder Guesthouse being written: the guest, when it is issued and due, and the room and breakfast lines with HST.

Returning guests are remembered, with what they liked last time.

Contacts keeps each guest, with tags and notes, such as a quiet room. Each guest's page lists their invoices.

A follow-up becomes a To-do, such as sending the door code the day before.

Port Alder Guesthouse’s guests and suppliers in Contacts, each with tags, contact details, when they were last in touch and the next follow-up.

Each changeover has a checklist, and a photo shows the room is ready.

Daily Operations gives a guesthouse its routines, such as opening, a housekeeping inspection and closing. A changeover checklist starts by hand when a room is vacated.

A step can ask for a photo, a yes or no, or a pass or fail. Notes for the next shift and reported problems stay on the day's page.

Your housekeepers see their own shifts, and swap them with each other.

Staff Scheduling plans the week, with positions such as housekeeping, breakfast and reception. Each person you invite sees their own shifts.

They can ask for time off, or swap a shift with a colleague. An open shift waits for someone to take it.

Port Alder Guesthouse’s rota for the week in Staff Scheduling: each person’s manager, cleaning and other shifts with their hours, time off marked, and an open Saturday cleaning shift.

Six more areas cover the wifi, the house guide, supplies, email, the books and posts.

A stay goes from a request on your website to the room ready again.

  1. The request

A guest asks about three nights on your website's form.

  2. The booking

You reply, and send the invoice for the stay.

  3. Before arrival

A follow-up reminds you to send the door code.

  4. The changeover

Housekeeping works through the room's checklist, with a photo at the end.

  5. Next time

A note on the guest's record says they liked the sea view.

Setting up takes four steps.

  1. Set up Daily Operations

You choose Hospitality, and keep the routines you want. Help: Routines and checklists.

  2. Add your staff

You add each person and invite them to their shifts. Help: Add staff and invite them to see their shifts.

  3. Build the website

You start from the starter design. Help: Build and publish a website.

  4. Connect Stripe

Guests can then pay invoices by card. Help: Connect Stripe to receive money.

Plans

A host on their own fits Pro, in Personal. A guesthouse fits the Team plan, with each member of staff who works shifts a member. Guests are not added to it.

Mail at your own domain is on paid plans. Magpie adds no fee to invoice payments. Stripe's processing fee is taken from each card payment. Prices are on the Pricing page.

Other businesses that look after guests have pages of their own.

Questions B&Bs, guesthouses and hosts ask

Can housekeeping take a photo when a room is ready?

Yes. A checklist step can ask for a photo. The finished checklist keeps it, with who did it and when.

Can I run a changeover checklist whenever a guest leaves?

Yes. A routine can run only when started by hand. Housekeeping starts the room's checklist when it is vacated.

Can I look after more than one property?

Yes. Each property can be a location in Daily Operations, with its own hours and checklists.

Can guests ask about a stay on my website?

Yes. A stay request form asks for the dates, the number of guests and the room. You get an email for each request.

Can guests pay for a direct booking by card?

Yes. The invoice email has a button to pay by card, through your own Stripe account. Magpie adds no fee to it.

Can I put the wifi password on a card in each room?

Yes. QR Codes makes a Wi-Fi code, so a phone that scans it can join the network. You download it to print.

Can I keep notes on returning guests?

Yes. Each guest's contact keeps notes, tags and follow-ups. Their page lists their invoices too.

Can cleaners swap shifts?

Yes. A cleaner can propose a swap, and the colleague accepts or declines. You choose whether a swap also needs your approval.

Can I keep track of linen and toiletries?

Yes. Inventory counts them in each place you keep them, and lists what is running low. An order to your supplier starts from that list.
