Scout, Guide and youth groups

Parents say who is coming on each trip, pay for it and sign the consent form. You know which tents are out, and who is leading each night.

The leaders work in one Magpie team. Parents use the event pages, forms and consent requests you send.

Parents say who is coming, and RSVPs stop when the places are gone.

Calendar holds each meeting, trip and camp, with its time, meeting point and kit list. Parents reply Going or Not going on its page.

A capacity stops RSVPs when the places are gone. An event can be for your group only, or on a public calendar.

Parents pay for a camp on a form, with medical and dietary needs.

Forms builds a camp form with your questions, such as allergies and swimming ability. A paid form takes the camp's cost by card, through Stripe.

Every reply comes into one list you can export. Each response shows whether it has been paid.

The Form builder with 3rd Ashford Scouts’ autumn camp form: the dates and cost, then questions for the young person’s name, their section, allergies and medical needs.

Every parent signs the consent form before the trip.

E-Signatures keeps your consent form as a signing starter, with its fields already placed. Each parent's request takes only their name and email address.

You see who has signed, and reminders go to anyone who has not. Each signed form comes with a certificate of completion.

Each leader sees which nights and camps they are on.

Staff Scheduling plans the leaders' rota, with positions such as section leader and assistant leader. A position can require a qualification, such as first aid.

Each leader you invite sees their own shifts. They can swap a night or say when they cannot come.

3rd Ashford Scouts’ leaders’ rota for the week in Staff Scheduling: troop night and pack night shifts for each leader, and an open Saturday shift at the kit store.

You know which tents are out, and when they are due back.

Asset Tracker keeps each tent, stove and canoe, with its condition and photos. Kit lent to a patrol or a family is checked out, with a due date.

What is overdue has its own list. Checking a tent back in records its condition, such as a torn flysheet.

A patrol tent’s record in Asset Tracker: checked out to a Scout leader and due back in three days, with its tag, condition, category, location and what comes with it.

Parents hear what is coming up each term.

Newsletter keeps the parents' mailing list, with double opt-in on its sign-up page. A list can be brought in from a CSV file.

You write each issue, send yourself a test and schedule it. Each issue's page counts the copies delivered.

Plans

A group fits the Team plan, with each leader a member. Parents and young people are not added to it.

Magpie's fee on a paid Form is 1% of each payment. Stripe's processing fee is taken from each card payment. Prices are on the Pricing page.

Other groups for young people and families have pages of their own.

Questions youth groups ask

Can parents say if their child is coming to camp?

Yes. The camp's page takes Going or Not going. A capacity stops RSVPs when the places are gone.

Can parents pay for a trip online?

Yes. A paid form takes the trip's cost by card, through Stripe, into the group's account. Each trip has its own form, with its own price.

Can parents sign the consent form online?

Yes. Your consent form is a signing starter. Each parent's request needs only their name and email. Reminders go to anyone who has not signed.

Can we lend tents to families?

Yes. A tent can be checked out to a family as a contact, with a due date. Overdue kit has its own list.

Can the rota check first aid certificates?

Yes. A position can require a qualification, with an expiry date on each leader's record. A shift for someone without it is blocked or flagged.

Can leaders swap nights?

Yes. A leader proposes a swap, and the colleague accepts or declines. You choose whether a swap also needs your approval.

Can we email every parent?

Yes. Newsletter sends each issue to everyone on the list. You write it in Markdown, send yourself a test and schedule it.
