Filings and renewals
Keep each company's filings, tax returns, licences and renewals with their next due date, mark each done, and get a reminder before each date.
Filings and renewals lists every company's filings, tax returns, licences, insurance, registrations, memberships and domains by due date, with what is overdue first. Year shows the next twelve months by month.
Adding a filing or renewal
Add filing or renewal asks for the company, the name, the kind and the next due date. On its page you set how it repeats, its owner, the authority and reference, the usual fee, its own reminder days, the document it renews and a Password Vault item for the authority's login.
| Repeats | The next date |
|---|---|
| Once | None. |
| Every year on the same day | The same day a year on; 29 February becomes 28 February. |
| Every few months | The same day that many months on, or the month's last day. |
| Yearly, after the financial year end | The next year end, plus the months and days given. |
| Yearly, after the anniversary of incorporation | The next anniversary, plus the months and days given. |
| After the last one is done | The day it was done, plus the months and days given. |
A rule counted from a month's last day stays on month ends: nine months after 31 March is 31 December.
Standard filings
A company with its country and kind of company set shows Add standard filings on its page when Magpie has a starter for it:
- United Kingdom: private limited company, and sole trader
- United States: Delaware corporation, and limited liability company
- Canada: federal corporation
- Australia: proprietary company
The starter lists each filing with its rule, the authority, the usual fee where it is fixed, and the official page the rule comes from, with the day it was checked. Each first due date is worked out from the company's incorporation date and financial year end. Change a date or leave a filing out before adding them. Optional filings, such as a VAT return, start left out. For other countries, add filings by hand.
The Australian starter has the Australian Securities and Investments Commission's annual review and the super guarantee; add the company tax return and business activity statements by hand.
Marking one done
Complete records the day it was done, the fee paid, a note and a proof, such as the filing confirmation or the renewed certificate. The next occurrence follows the rule. A proof for a renewal replaces the document it renews, which is kept as replaced.
The same occurrence cannot be marked done twice. Undo the last completion in More, on the same day, removes it and puts the occurrence back; a proof it filed stays with the company's documents.
A rule counted from the financial year end or the incorporation date needs that date on the company to work out the next one.
When the financial year end changes
Changing a company's year end works out new dates for its filings counted from the year end. Nothing changes until you choose Use the new dates or Keep the current dates on Filings and renewals.
Reminders
Filings, tax returns and registrations remind 90, 30, 14 and 7 days before they are due; licences, insurance and other renewals 60 and 30 days before. You can change both in Settings, or give one filing its own days. A reminder also goes on the due date, and every week while it is overdue. Reminders go to the owner, or to every admin when there is no owner.
These are standard rules, not tax or legal advice. Check each date with the authority.
