Give your accountant access to the books
Let an accountant or bookkeeper keep a team's books in Accounting without joining the team, and switch between books you keep for others.
An accountant keeps the books with you without joining the team. They can open everything in Accounting and nothing else of the team. Accountant access is on paid plans.
Add an accountant
An admin chooses Add accountant under Accountants on the team's Members page, or in Accounting Settings, which also works for Personal, and enters their email address. Someone with a Magpie account at that address will get access at once and an email with a link to the books. Anyone else will get an invitation by email to create an account with that address. Accepting it from that account gives them access.
An invitation expires after 14 days. Pending invitations are listed under Accountants with the date each expires. Resend sends a new link and Revoke stops the old one working.
What an accountant sees
The accountant opens Accounting. Someone who keeps other teams' books chooses whose under Books at the top of any Accounting page and chooses Open books; the page bar then names that team.
Entries from invoices, invoice payments and expenses link to a read-only summary of the record, because an accountant cannot open Invoicing or Expenses. Receipts stay in Expenses. An entry from another area, such as a Store order, names where it came from without a link. An accountant who is not on the team cannot link Asset Tracker items to fixed assets, and the assistant on Dashboard does not answer them about these books.
Remove an accountant
Remove, beside the accountant under Accountants, takes away their access; an accountant can also remove themselves. If the team moves to the free plan, accountants cannot open the books until it upgrades again; their access is kept. Accounting Activity records each accountant invited, added or removed.
