Send a proposal
Send a proposal to its recipients, protect it with an access code, follow up, get approval, revise it, extend it or withdraw it.
Send in the page bar opens the Send drawer. It starts with the send check: the totals, and anything that stops the proposal being sent.
What stops sending
- No client is chosen.
- A placeholder or example price from the starter is still in the proposal. Each is listed with Show.
- A field would be empty, such as the client's company when the contact has none.
- The proposal needs approval and is not approved yet.
- The plan's monthly limit on sent proposals is reached.
The drawer also says when the team cannot take card payments, so the client will be invoiced for the deposit without a Pay button.
Recipients
Each recipient either signs and accepts, or reads only: someone who reads only can read the proposal and ask questions. At least one recipient must sign and accept, and there can be at most 20 recipients. Choose them from Contacts, or type a name and an email address. Add recipient adds another, and Remove beside a recipient's name takes them off while there are two or more.
Each recipient is emailed their own link. The email comes from your business name via Magpie, and replies go to you. Your business name is shown at the top of the email, and its button is in the proposal's accent colour. You can change the subject and message; their defaults are in Proposals settings. Recipients do not need a Magpie account.
Valid until is the last day the proposal can be accepted, in your time zone. After it, the client's page says the proposal has expired and offers to ask you for an updated one.
To ask for a code before the proposal opens, select Add an access code and type one. Send the code to the recipients another way; it is not in the email. When you send an update, Change the access code replaces it, and leaving the field empty keeps the current code. After 5 wrong codes in an hour, their link stops working for the rest of the hour.
Sign it myself now adds your signature, drawn or typed. The client's page, the PDF and the signing certificate show it.
A date and time I choose sends the proposal later instead of now. Changes made before then are sent.
Links
Copy link, on a recipient's row, copies their link so you can send it another way. Opening it is recorded the same way. Each recipient keeps their link when you send a new version. Reset links in More emails every recipient a new link; the links sent before stop working.
Follow-ups
With follow-ups on, Magpie emails recipients who have not opened the proposal a few days after it was sent, signers who opened it but did not answer a few days after they first opened it, and signers a few days before it expires. At most 3 go out for a proposal, and none after it is accepted, declined, withdrawn or expired. Proposals settings sets the days.
Send reminder emails each signer who has not signed or declined. It names them and asks before anything is sent, and it can be used once every 10 minutes.
Approval
In a team, admins can require approval in Proposals settings: for every proposal, when the one-time total reaches an amount, or when the discount reaches a percentage. A proposal that needs it shows Ask for approval in the Send drawer. The approvers (any team admin, unless settings name some) see Approve and Ask for changes on the proposal. Any change after approval asks again.
After sending
The proposal's page shows its recipients and their state. The client page, under them, opens the proposal in a new window as the client sees it, with the package and options they have chosen so far. You can try other choices there; nothing you choose is saved, and only the client's own choices count.
The page has these actions:
- Revise starts the next version as a draft. Recipients keep seeing the version they were sent until you send the new one, which emails them that it was updated, with your note on what changed. Earlier versions stay readable from Earlier versions.
- Change valid-until date gives the proposal more time, or brings an expired one back, without a new version.
- Withdraw ends it. Its page tells the client it was withdrawn, and follow-ups stop. You can revise it and send it again.
