Plan prep, keep recipes and log waste
Write recipes from Inventory items, plan and record batches at a location, and log waste so stock stays right.
Daily Operations and Inventory are marked Coming soon. Only Magpie administrators can access them.
Prep, recipes and waste use the stock kept in Inventory. Each location keeps its stock in one Inventory pool: a pool named after the location is added the first time it is needed, and a team admin can choose another in Settings, Locations, under Stock kept in. See Keep track of stock.
Recipes
A recipe lists what goes into something you make, such as a sandwich, a batch of muffins or a floral arrangement, and the method. Managers add recipes on Recipes with Add recipe.
On a recipe's page, managers work with what goes into it and the method directly:
- Add Inventory items with the quantity used. The unit list shows the chosen item's units and its packs.
- Add another recipe to it adds a recipe as a component, such as a syrup used in several drinks. A recipe cannot be added to one of its own components.
- Change a component's quantity by selecting it, and remove it with its remove button.
The recipe's name, description, how much it makes, the Inventory item it is kept in stock as, its category, how long it keeps, how long it takes, storage and allergens change from More, Edit details. Keeps for sets the use-by time printed on each batch. Kept in stock as is the Inventory item each batch adds to, when what you make is kept as stock. Archive recipe in the same menu stops the recipe from being planned; its versions and batches are kept, and Restore recipe brings it back.
Changes are kept as a draft until a manager chooses Use this version, which shows the version number before it is put in use. A batch uses the version that was in use when it was planned, so changing a recipe does not change batches already planned or made.
Costs
Managers and team admins who can see costs in Inventory see what each recipe costs. Each component is counted at its item's average cost, or its usual supplier's price when the item has no average cost yet. A component with neither is marked as not known. Employees, shift leads and auditors do not see costs on Prep, Recipes or Waste.
Plan and record prep
On Prep, shift leads and managers choose Plan a batch, then the recipe, how much to make, the day and, optionally, who makes it. Only recipes with a version in use can be planned; with none, Prep links to Recipes. When a made item has an order-up-to level for the location's pool in Inventory, Suggested from order-up-to levels lists how much to make to reach it, after what is already planned.
While a batch is planned, a shift lead or manager can change how much to make, the day and who makes it on the batch's page.
Ingredients lists what the open batches need against what is available: usable stock not set aside for other batches. On Today, shift leads and managers see items below their minimum at the location and orders expected there under Needs attention.
Each open batch on Prep shows its next step:
- Start sets the batch's ingredients aside. It is shown for a planned batch that uses Inventory items.
- Record what was made takes the ingredients used out of stock, scaled to what was made, and adds what was made when the recipe is kept in stock. Making 10 of a planned 12 uses the ingredients for 10. A batch can be recorded without starting it. The batch then shows its batch code and use-by time, and its status is Completed (or Partly completed when less was made than planned).
- Record a failed batch, in the batch's More menu, takes the ingredients used out of stock as waste and adds nothing.
- Cancel batch takes nothing out of stock and stops setting its ingredients aside.
Log waste
Choose Log waste on Today, Prep, a batch or Waste. Choose the item (the location's stock is listed first), how much, the unit and the reason. The quantity is taken out of the location's stock. Lost or stolen is available to managers only, and needs a note, as does Other.
The person who logged waste can choose Undo on Waste for 10 minutes. After that, or for someone else's entry, a manager chooses Correct, changes the item, quantity or reason and chooses Save correction, or chooses Remove this entry. Undo, a correction and a removal each put the stock back with a reversal in Inventory's history; a correction then logs the corrected waste on the same day.
Waste lists the waste at a location for a range of days, with totals by reason and by item. It includes waste recorded with Waste on an item in Inventory in the location's pool, and the ingredients of failed batches, each counted once. Download CSV downloads the list.
