A proposal sets out work you offer a client and what it costs. You write it in Proposals, send it, and the client reads it on a page of its own. On that page they choose between packages and options, ask questions, and accept by signing. When there is a deposit, they pay it there too.

Proposals belong to Personal or to the selected team, like invoices. Members of a team who can use Proposals can read the team's proposals; members with edit access can write and send them.

A proposal's states

State What it means
Draft Written but not sent. Only your team can see it.
Sent Recipients have their links and can accept or decline it.
Accepted Every signer signed. The signed PDF and its certificate were emailed.
Declined A signer declined it. You can revise it and send it again.
Expired Its valid-until date passed before it was accepted. You can give it a new date.
Withdrawn You withdrew it. Its page tells the client so.

The Proposals page lists them under Drafts, Sent, Accepted, Declined and expired and All. Search by title, number or client, and in a team, choose whose proposals to show. Rows show each proposal's value and what last happened to it.

Starting a proposal

Select New proposal and choose what to start from: one of your starters, one of Magpie's starters, a past proposal, a blank proposal, or a JSON document. You can choose the client now or later. The proposal opens in the editor. A contact's page lists their proposals, and New proposal there starts one with that contact as the client.

See Write a proposal for the editor and Proposal starters, saved sections and the price list for starters.

Archive a proposal

Archive, in a sent proposal's More menu or a draft's File menu, moves it to Archived proposals, linked below the list. It keeps everything, its client links included. Restore from archive in its More menu brings it back. A draft that was never sent can be deleted instead, with Delete draft in its File menu.

Numbers

Each proposal takes the next number from its team's counter when it is made, such as PRO-0001. A deleted draft leaves a gap in the numbers. Proposals settings sets the prefix, the next number and how many digits a number has.

Plan limit

On the free plan, 5 proposals can be sent each month. The first send of a proposal counts; sending a new version of it does not. A client can always accept a proposal they were sent. Invoices that proposals make do not count toward the invoice limit.

Settings

Proposals settings holds what new proposals start with: numbering, how many days a proposal is valid, its currency, the client page's language, a deposit, its look, the email to clients, follow-ups, approval rules and what happens when the work starts. In a team, only team admins change these. Each member chooses their own notifications on the same page.

A proposal already written keeps what it has. To change one proposal, use Edit details, in a draft's File menu or a sent proposal's More menu. A draft's currency, language and how long it is valid are in Totals and payments, at its end.
