Make a plan with a client
Set out the goals you and a client are working towards and the steps to reach them, then share the plan in their portal.
A plan is part of a Client Portal. It has goals, which are what you and the client are working towards, and stages, which are the parts of your process. Each stage has steps, and each step is for your team or for the client.
Start a plan
On a portal's page, choose New plan. Start from a starter plan to copy its goals, stages and steps, or start with an empty plan, and give it a name. The plan opens as a draft that only your team can see.
Add goals, stages and steps
- Add goal adds a goal by name. Its page opens next, where you set the number to reach, if it has one. See Track a client's goals.
- Add stage, at the foot of the plan, adds a stage such as Discovery or Launch. Click a stage's name to rename it. A stage's ⋯ menu moves it up or down, or deletes it with its steps.
- The field at the foot of each stage adds a step. Choose whether it is for your team or for the client as you add it.
Click a step's title, who it is for, or its due date to change it. Drag a step by its grip to move it within its stage or into another, or use its arrows to move it one place; past the end of a stage, the arrows move it into the next or previous stage. The ⋯ beside a step deletes it.
Tick a step's circle when it is done. Your team can tick any step, the client's too; each done step shows when and by whom.
Share the plan
Choose Share with and the client's name beside the plan's name. The client then sees the plan in their portal: its goals and how far each has come, every stage with its steps, and which steps are theirs. The Overview lists the client's open steps first, under For you to do, then each active plan with its goals. Sharing is listed in the portal's activity, and each client who can sign in gets an email about the plan while Email clients is on in the portal's details.
Clients tick their own steps, and can record progress on a goal with a target. Your team's steps are shown to them but cannot be ticked by them. What clients do is listed under Client activity on the portal's page.
The current stage is the first one with a step still to do. Ticking the last step of a stage moves the plan on to the next.
Name and status
Change a plan's name and status from More, then Edit details…. The status is one of these:
- Draft: only your team sees it.
- Active: clients see it and tick their steps.
- Completed: clients still see it, as finished, and can no longer tick steps or record progress.
Moving a plan back to draft hides it from clients. Clients see plans only while the portal's Plans section is on.
Save as starter… in the More menu makes a starter from the plan, for the next client (see Reuse your process with starter plans). Delete plan deletes the plan, its goals, its steps and its recorded progress, and clients no longer see it.
