How a client accepts

On the proposal's page, the client chooses a package and any options, then selects Accept. The confirmation step shows their choices with the totals and payment schedule worked out again, and asks for their full name and a signature. The signature is drawn with a mouse, finger or stylus, or, with Type, is their full name in a signature style. The step states beside Accept and sign that selecting it is their agreement to the proposal and to signing it electronically; selecting it signs.

When a package is still to be chosen, the confirmation step says so, and Choose a package goes to the packages.

Every signer signs, in any order. The proposal is accepted when the last one signs; until then, each signer who has signed sees who it is waiting for.

Signing is refused, and the page reloads with a message, when the proposal or its choices changed after the signer opened the confirmation step, or when it expired, was withdrawn or was declined in the meantime.

When the proposal has recurring lines, the client also chooses whether each recurring invoice is charged to their card automatically or paid from its email. Edit details on the proposal can require automatic payment.

What happens on acceptance

  • The version, the choices, the totals and the signatures are kept as they were accepted.
  • Magpie makes the signed PDF and a signing certificate, which lists each signer's name, email address, signing time, IP address and browser, the agreement text and the SHA-256 fingerprint of the signed PDF. Both are emailed to every recipient and to you.
  • With a deposit, its invoice is issued and emailed to the signers. The confirmation offers Pay deposit, which pays by card through the team's Stripe account and returns to the proposal. When the team cannot take card payments, the invoice is still issued and emailed, to be paid another way.

The proposal's More menu then has Signed PDF and Signing certificate.

Later payments

Each payment is an ordinary invoice in Invoicing, which shows the proposal it came from, and the proposal shows each payment's state from its invoice. Payments on a date are issued and emailed on their date. Bill this milestone issues a milestone's invoice. Bill the final payment issues the last one, which takes whatever is left, so the invoices add up exactly to the accepted total. A payment not yet invoiced can be cancelled; the final payment then takes its amount.

When the work starts

The work starts when every signer has signed, or when the deposit is paid, as the payment schedule says. Then Magpie does what the proposal's Edit details chose:

  • Time Tracking project: named after the proposal and its number, for the client, in the proposal's currency. When the accepted lines priced in hours share one rate, that is its hourly rate, and their hours are its budget.
  • To-do List from the timeline: one To-do for each phase, due on the phase's end date.
  • Share in Client Portal: shares the proposal and its invoices in the client's portal, inviting the client first when they have no portal yet.
  • Kickoff booking link: offers one of your Meeting types on the accepted page and in the acceptance email.
  • Recurring invoices: starts the invoices for the accepted recurring lines (see Recurring invoices).

Each runs once, and the proposal links to what it made. One that fails shows on the proposal with Try again; Magpie also tries it again on its own, up to 3 times.

Declined proposals

A signer can decline, with a reason if they choose. The proposal ends for every recipient and you are emailed. You can revise it and send it again.
