Prices go in pricing sections. A proposal can have up to 10 of them and 200 lines in all, and its totals include every pricing section.

Lines

Each line has a name, an optional description, a quantity, a unit such as hour, a unit price, a tax rate from Invoicing and how it is billed: once, monthly, quarterly or yearly. Quantities can have up to four decimal places, as on invoices.

Add line adds an empty line. Add from the price list copies a price from the team's price list into the section. The copy is the proposal's own: changing the price list later does not change it.

Options on a line sets two more things:

  • Optional: the client adds or removes the line. Starts added sets whether it is added when they open the proposal.
  • The client can change the quantity: the client chooses a quantity between the fewest and the most, in the steps you set.

Packages

Set The client chooses to One of 2 to 4 packages to offer packages: from 2 to 4, each with a name, a description and its own lines. Mark one as Recommended. The client chooses exactly one package before accepting. Lines in a package cannot be optional; put optional extras in a pricing section of their own.

Totals

Totals and payments, at the end of the proposal, shows the subtotal, discount, each tax and the total of the one-time lines, and a total for each billing period of the recurring lines. Totals are worked out the way Invoicing works out an invoice's. While packages are not chosen yet, the totals use the recommended package, or the first.

The client's page recalculates the totals each time they change a choice, and again when they accept. The accepted totals are the ones their invoices use.

Currency and discount

A proposal has one currency. It can change until the proposal is first sent.

A discount is a fixed amount or a percentage of the one-time lines. Recurring lines are not discounted.

Payment schedule

The payment schedule divides the one-time total into payments, up to 10:

Payment When it is invoiced
Deposit on acceptance When the proposal is accepted. Only the first payment can be the deposit.
On a date On a date, or a number of days after acceptance.
On a milestone When you select Bill this milestone on the accepted proposal.
Final payment When you bill it, as the last payment. It takes whatever is left.

Each payment is a percentage of the total or an amount. Percentages are of the total before tax, and each invoice adds its share of the tax, so the invoices add up exactly to the accepted total. With no schedule, there is one final payment.

The work starts when chooses whether what happens after acceptance starts when every signer has signed, or when the deposit is paid. See Acceptance, signing and payment.

Recurring lines

Lines billed monthly, quarterly or yearly become recurring invoices when the work starts: one schedule for each billing period. Recurring invoices in Totals and payments sets when the first invoice goes out and, optionally, how many there are. See Recurring invoices.
