Hiring → Candidates lists applications for the current Personal or team selection. Filter by job, status, reviewer or tag, or search by name, email address, job title or tag. A job's Pipeline board shows its active applications in columns, one for each stage.

Stages and reviewers

Each job has its own stages. New applications start in the first stage. Open a job to rename, add, remove and reorder stages. A stage that holds applications cannot be removed until they move. Rejected, withdrawn and hired are outcomes, not stages.

Open a candidate to change the stage or choose a reviewer. On the board, drag a card to another stage or use the move menu on the card. Everyone who can open Hiring in the team can see every application.

Interviews

Select Schedule interview to choose interviewers and a time, add the interview to Calendar and email the candidate an invitation. See Schedule interviews.

Tags

Add tags such as strong-portfolio or future-role in Tags on a candidate's page. Type a tag and press Enter or a comma; tags already used in the team are offered as you type. Each change saves at once. Tags belong to the candidate, so they show on every application the candidate has made to the team. Tags are stored in lower case, with spaces turned into hyphens. A candidate can have up to 20.

In Hiring → Candidates, filter by a tag, or search for one by name. The list shows the first two tags of each candidate.

Scorecards

Interviewers rate the candidate in the job's categories and recommend for or against. See Rate candidates with scorecards.

Notes and activity

Notes are visible to the team and never to the candidate. The activity list records the application, stage changes, assignments, notes, emails, interviews and outcomes.

Email

Select Email candidate, choose a template or write your own, and edit the subject and message before sending. Replies go to your own email address. Magpie records each message in the activity list.

Outcomes

  • Reject asks for a reason from a fixed list. The reason is for the team and is not sent to the candidate. Email the candidate is unchecked by default. Nothing is emailed unless you check it. Rejecting cancels the candidate's interviews that have not started; see Schedule interviews.
  • Mark hired records the hire. The candidate stays in the list.
  • Mark withdrawn records that the candidate no longer wants the job and cancels their interviews that have not started. The candidate is not emailed.
  • Reopen application returns a rejected, withdrawn or hired application to its stage.

Reject several candidates

In Hiring → Candidates, tick the active candidates to reject, or tick the box in the heading row to select every active candidate on the page, and select Reject. Choose one reason for all of them. When Email each candidate is checked, each candidate is sent their own copy of the message, with {{candidate_name}}, {{job_title}} and {{company_name}} replaced for them; no candidate sees another's address. Their interviews that have not started are cancelled as for a single rejection. Up to 100 candidates can be rejected at a time. A candidate who stopped being active before you confirmed is skipped.

Add and delete

Select Add candidate to add someone who applied outside the job page. A candidate you add has no application answers or files.

Delete candidate permanently deletes the candidate with every application, note, activity entry and uploaded file in the team. This cannot be undone.

Offers, a talent pool and import are not part of Hiring yet.

In the Magpie app

Hiring in the app has the overview, Jobs and Candidates for the selected Personal or team context. Hiring in the app has the same Coming soon limit: only Magpie administrators can open it.

The overview lists the interviews you are an interviewer for that have not ended, the scorecards you still owe, and the newest applications. Jobs lists jobs with their status and how many active candidates each has. Open a job and choose a stage to see its active candidates and how many are in each stage. Press and hold a candidate to move them to another stage. Candidates has a search and filters for status, job and tag.

A candidate's page shows their email address and phone number (tap to email or call), the job, stage, status, source, tags, application answers, files, notes, activity, interviews and scorecards. Interview times are in your account's time zone. Tap a file to open the share sheet with it, where you can open it in another app, save it or send it.

People with edit access can change the stage, add tags, add and delete notes, Reject, Mark withdrawn, Mark hired and Reopen application from the candidate's page and its action menu. Rejecting asks for a reason and has Email the candidate, off by default, with the same subject and message as on the candidate page, and cancels interviews that have not started, as described in Outcomes above. Scheduling and changing interviews, emailing a candidate outside a rejection, choosing a reviewer, adding and deleting candidates, rejecting several candidates at once, jobs, application forms and Hiring → Settings are not in the app.
