Recurring invoices
Invoice the same lines every month, quarter or year, charge a saved card automatically, and pause, change or end the schedule.
A recurring invoice is a schedule: the same lines invoiced to the same client every month, quarter or year. Invoicing → Recurring lists the schedules of Personal or the selected team.
Starting one
- From a proposal. When an accepted proposal has lines billed monthly, quarterly or yearly, its work starting begins one schedule for each billing period (see Prices, packages and payments in a proposal).
- From an invoice. Make recurring in an invoice's More menu starts a schedule with that invoice's lines, tax rates, notes and client. Choose how often, the date of the first invoice (today or later) and, optionally, how many invoices to send. The invoice needs a client.
On each date, Magpie issues an invoice with the schedule's lines and emails it to the client, as a sent invoice in Invoicing. The day of the month is kept where the month has it: a schedule on the 31st invoices on the last day of shorter months. A schedule with a number of invoices ends after the last one.
Paying by card automatically
A schedule started from a proposal can charge each invoice to the client's card when it is issued, when the client chose automatic payment on accepting it or the proposal required it. The client saves the card when they accept the proposal, or from the link to update their card. The schedule's Payment row shows the card, or that it is waiting for the client to save one. A schedule made with Make recurring does not charge a card. Cards are saved by Stripe on the team's Stripe account; Magpie keeps only the card's brand, last four digits and expiry date. A successful charge is recorded as a payment on the invoice, and the client is emailed the paid invoice.
When a charge is declined:
- the client is emailed the invoice with its Pay link and a link to update their card;
- you are emailed;
- the schedule shows Payment problem until a payment of one of its invoices succeeds. The next invoices are still issued and charged.
In the month before a saved card expires, the client is emailed a link to update it.
Without a saved card, each invoice is emailed for the client to pay from its Pay link, as any invoice.
Changing a schedule
Open a schedule from Recurring:
- Select the Next invoice date to change it. Later invoices follow on from the new date.
- Change lines in the schedule's More menu changes what future invoices hold. When the amount changes, the client is emailed the new amount before the next invoice. Invoices already issued do not change.
- Pause in the More menu stops invoices until you Resume. Dates missed while it was paused are not invoiced.
- End in the More menu stops the schedule for good. Ended schedules are listed under Ended.
Each invoice a schedule issued is listed on its page, with its state.
