Employees lists everyone the team pays, with their pay schedule and their pay today. Employees whose last day has passed are under Left.

Adding an employee

Add employee asks for a name and the pay schedule they are paid on. To start from someone already in Magpie, choose them under Start from: a member of the team, someone in Staff, or a candidate hired in Hiring. Their name and email are filled in, and their account or Staff profile is linked. On a hired candidate in Hiring, Add to Payroll does the same.

To add many at once, use Import employees in the More menu (Bring your employees into Payroll by pasting JSON).

An employee's page

Each of an employee's details changes where it is shown: their name, email, employee number, pay schedule, first and last day, and notes only payroll administrators see.

  • Hours from says where a pay run finds their hours: Time Tracking (the entries of their Magpie account), Worked shifts (their worked shifts in Staff Scheduling) or Entered on each pay run.
  • Staff profile links them to their profile in Staff and Staff Scheduling. While it is linked, their pay is set here: their Staff file shows it and Staff Scheduling's labour costs use it.
  • Magpie account links the account they will read their payslips with, when they are a member of the team. For anyone else, choose Invite to read payslips in the More menu: they are emailed a link that links the account they sign in or sign up with, without joining the team. The link works once and ends after 14 days.

Give them a last day to stop paying them; pay runs after it leave them out. Delete in the More menu is offered only while no approved pay run has paid them.

Pay

Add pay sets an hourly rate or a yearly salary from a date. A new entry ends the one before it the day before, so a pay rise from 1 July is one new entry from 1 July. Pay that an approved pay run used cannot be changed; add a new entry from a later date instead.

Standing lines

A standing line is added to every pay run: an allowance, a deduction such as income tax, or the team's pension contribution. It is a fixed amount, or for a deduction or a contribution a percentage of gross pay, from a date and optionally until one. Enter tax as your accountant or your tax authority gives it (Payroll, "Tax and other amounts you withhold"), and add a new line from the date it changes.

Opening year-to-date totals

If you start using Payroll partway through a tax year, enter what each employee has already been paid and had withheld this tax year, by pay item. Payslips add these to their year-to-date totals.
